Location: Alpharetta, GA (100% In Office)
Reports To: Director of Proposals
Status: Full-Time, Exempt
Salary: $50,000–$60,000 + Commission Opportunities

About the Role

We are looking for a detail-oriented Proposal & Bid Specialist to support our growing business by managing proposals, bids, and client submissions. In this role, you will coordinate proposal responses, gather required documentation, ensure compliance with customer requirements, and support business development efforts. You'll work closely with internal teams, clients, vendors, subcontractors, and insurance providers to help deliver winning proposals.

Key Responsibilities

Proposal & Bid Management

  • Review RFPs, RFQs, and bid opportunities to understand requirements and deadlines.
  • Coordinate the proposal process from start to finish, including content development, formatting, and submission.
  • Gather information from internal teams to create accurate and competitive proposals.
  • Assist with pricing coordination and proposal strategy.
  • Maintain proposal templates, schedules, and submission records.
  • Monitor procurement portals for new bidding opportunities.
  • Track proposal results and support process improvements.

Documentation & Compliance

  • Collect and organize all required bid documentation.
  • Work with vendors, subcontractors, insurance providers, and internal departments to obtain required materials.
  • Ensure proposals are complete, accurate, and compliant with customer requirements.
  • Manage certificates of insurance (COIs), bonds, licenses, certifications, and other qualification documents.
  • Support customer prequalification and vendor registration activities.

Client & Business Development Support

  • Prepare presentations, capability statements, and proposal materials for client meetings.
  • Participate in client meetings, pre-bid conferences, and proposal discussions.
  • Support business development efforts through client communication and follow-up.
  • Collaborate with operations teams to incorporate customer requirements into proposals.
