Position Overview

The Purchasing Order Specialist is responsible for managing all aspects of procurement and vendor relations for Hashery. This role goes far beyond data entry — it’s about strategy, negotiation, and brand partnership. You’ll ensure Hashery consistently secures the best pricing, exclusive product access, and price protection, while maintaining compliance and operational efficiency.

The ideal candidate is proactive, analytical, and persuasive — someone who thrives on building vendor relationships, negotiating advantageous terms, and keeping our shelves stocked with the highest-quality products New Jersey has to offer.

Key Responsibilities

• Vendor Negotiations & Relationship Management
  • Negotiate vendor pricing, volume discounts, and promotional credits to maximize margins and minimize costs.
  • Leverage Hashery’s marketing reach, brand reputation, and event activations to secure favorable terms and exclusive offerings.
  • Ensure all pricing agreements include clear price protection clauses and credit mechanisms for vendor-led promotions, pop-ups, and markdowns.
  • Proactively request credits or reimbursements from brands for co-hosted events, in-store activations, and brand-driven marketing collaborations.
    

• Product Quality & Allocation
  • Develop relationships with brand partners to ensure Hashery receives first look access to the highest-quality batches and newest drops.
  • Monitor and assess product quality across deliveries to ensure consistency and customer satisfaction.
  • Collaborate with vendors to resolve quality concerns or discrepancies quickly and professionally.
    

• Procurement Operations
  • Create, track, and reconcile purchase orders for all cannabis and non-cannabis SKUs.
  • Maintain detailed and accurate purchasing and delivery records for compliance and accounting.
    
  • Coordinate with the Inventory Manager to forecast needs, optimize stock levels, and prevent out-of-stock or overstock situations.
  • Ensure all procurement processes meet NJCRC compliance requirements.
    

• Cross-Department Collaboration
  • Partner with Marketing to align purchasing with promotional calendars and brand activations.
  • Support the Finance team by managing invoice documentation, tracking spend, and identifying cost-saving opportunities.
  • Collaborate with store leadership to ensure product mix reflects both business goals and customer preferences.

Qualifications

• 1+ year experience in purchasing, vendor relations, or retail operations (cannabis experience strongly preferred).
  
• Proven negotiation and communication skills — confident in leading pricing discussions and advocating for brand alignment.
  
• Highly organized and detail-oriented with strong follow-through.
  
• Proficient in Excel, POS, and inventory management systems.
  
• Familiarity with New Jersey cannabis compliance and Metrc is a plus.
  
• Strategic mindset with a passion for product quality, brand relationships, and business growth.

Schedule

• Full-time, on-site position
  
• Monday–Friday, with occasional weekend flexibility for events or activations
