The position works closely with QA/QC Superintendents, Project Managers, field supervision, Energy Marshals, commissioning personnel, subcontractors, vendors, and third-party testing agencies. The coordinator does not approve the technical installation but verifies that required documentation has been received, completed, reviewed by the appropriate responsible party, and properly stored.

  • Maintain QA/QC project folders and document-control systems in Autodesk Construction Cloud (ACC), SharePoint, or other approved platforms.
  • Upload, organize, name, and archive quality documentation using established company naming conventions.
  • Maintain current and historical revisions of checklists, drawings, procedures, reports, forms, and equipment documentation.
  • Identify and rectify outdated documents used in the field.
  • Confirm documents are legible, correctly identified, and associated with the proper project, building, area, system, and equipment tag.
  • Track completion of QA/QC inspection checklists, and review submitted checklists for required fields, signatures, photographs, comments, and supporting documentation.
  • Maintain inspection logs by project, system, area, and equipment type, including supporting materials such as photos, are labeled and attached in system.
  • Track First-of-Kind inspections, installation inspections, material-receiving inspections, pre-energization inspections, and final acceptance inspections.
  • Track receipt and completion of required testing and energization documentation, such as NETA reports, insulation resistance and megger tests, torque verification, cable testing, grounding and bonding tests, breaker testing and settings, and manufacturer startup reports, and verify completeness before equipment is presented for energization-readiness review.
  • Maintain documentation status reports identifying missing, incomplete, rejected, or overdue testing records, and coordinate with QA/QC, Energy Marshal, commissioning, and project teams to resolve documentation gaps.
  • Organize manufacturer documentation, approved submittals, startup forms, warranties, test reports, and inspection records.
  • Assist with development of system and equipment turnover packages and confirm turnover packages contain the required documentation before submission.
  • Enter and maintain QA/QC deficiencies, such as punch-list items, nonconformance reports, corrective action reports, quality observations, and lessons learned, in the tracking system, tracking responsible parties, due dates, supporting photographs, and closure documentation.
  • Confirm closed deficiencies include acceptable documentation showing the issue was corrected, and prepare reports identifying aging or overdue quality issues.
  • Provide project leadership with summaries of completed inspections, outstanding reports, open deficiencies, and turnover status.
  • Support QA/QC Superintendents with checklist creation, document retrieval, report preparation, and ACC administration.
  • Support internal quality audits by retrieving records and demonstrating document traceability.
