QAQC/ Maintenance Admin

Summary

Administrative role supporting QAQC and maintenance operations in construction, handling records, requests, and coordination for staff and workers.

The QAQC/Maintenance Admin provides administrative and coordination support to the QAQC/Maintenance Department. The role maintains accurate departmental records, coordinates routine worker and staff matters, processes approved requests and supports the department’s daily operations.

Job Responsibilities:

  • Collect, compile and maintain departmental records, including toolbox meeting records, worker work cards, OT reports, work order forms and staff work schedules.
  • Administer departmental petty cash by checking supporting documents, obtaining approval, submitting claims to Accounts and maintaining proper records.
  • Process approved material and attire requests, including checking that request details are complete, arranging orders and updating the relevant registers.
  • Coordinate routine worker administrative matters, including leave applications, flight arrangements, work-pass renewals, medical appointments and the issuance of renewal documents.
  • Coordinate staff and worker training administration, including obtaining approvals, notifying participants, collecting attendance or feedback forms and submitting completed records to HR.
  • Maintain and update departmental records relating to staff work allocation, leave, medical leave, off-in-lieu, uniforms, safety attire, equipment and tools.
  • Support the administration of customer survey forms and vendor performance evaluations by issuing forms, following up on completion and maintaining signed records.
  • Provide general administrative support to the QAQC/Maintenance Department, including document scanning, filing, server updates, report compilation and circulation of approved information.
  • Support Hubble system administration, including maintaining user records, creating user accounts, updating user access, recording user feedback and providing basic user support.

Job Requirements:

  • Education: Minimum GCE O-Level, NITEC, HigherNITEC or Diploma in Business Administration or a related discipline.
  • Experience: At least 1–2 years of administrative experience ;experience in the construction industry is an advantage; fresh graduates with a strong interest in QA/QC are welcome
