Quality Assurance Admin Assistant

Summary

The Quality Assurance Admin Assistant provides administrative support to the Norfolk Quality Assurance team by maintaining logs, managing documentation, and assisting with test and inspection plans. The role requires proficiency in Microsoft Office and Adobe to handle audits, corrective actions, and internal communications.

The Quality Assurance Admin Assistant is responsible for providing administrative support to the Norfolk Quality Assurance. This position reports directly to the Norfolk Quality Assurance Manager.

Essential Duties and Responsibilities:

This position is responsible for the following: Other duties may be assigned.

  • Maintain all QA logs
  • Issue corrective actions on behalf of the Norfolk QA Manager and follow through until resolved.
  • Review or complete Document Change Initiation Request.
  • Audit, review and maintain all controlled document lists (i.e., List of QPs, List of Forms, etc.)
  • Issue internal audits on behalf of the Norfolk QA Manager and follow through until all branches have responded.
  • Create clean Word copies of procedures, forms and work instructions when requested.
  • Must be able to translate information into usable documentation and /or spreadsheets
  • Obtain and maintain an ECA security certificate for computer use
  • Assist in all aspects of the test and inspection plans (TIPs). This will include creating a TIP (as directed), making tickets, handling call outs and organizing the associated files
  • Ensure inspection prerequisites have been met prior to call outs.
  • Work regularly with various customers
  • Maintain the QMS Portal Log
  • Work with the branch QA Inspectors, QA Supervisors and Training Representatives as needed.
  • Help other departments as requested.

Required Education and Experience:

  • Excellent computer skills and proficient in all Microsoft Office suite applications; specifically, Microsoft Excel, Word and Power Point
  • High level of proficiency in Adobe
  • Possess a valid driver's license
  • Excellent communication and organizational skills
  • Possess a high level of operating knowledge of all office equipment, including telephone, fax machine, scanner, computer, printer, etc.
  • Attention to detail and problem-solving skills
  • Excellent time management skills and the ability to prioritize work
  • Must have strong work ethic, be se1f-motivated, and able to multitask
  • Able to work in a fast-paced environment with ongoing deadlines
