Quality Records Coordinator

Position Summary

The Quality Records Coordinator is responsible for maintaining and controlling Quality Assurance records and controlled documents to ensure compliance with company procedures and regulatory requirements. This position supports production, the Repair Station, Engineering, Customer Service, and other departments by issuing controlled documents, maintaining records, managing inspection stamps, and ensuring critical quality documentation is accurate, complete, and readily accessible.

Essential Duties and Responsibilities

  • Issue and track serial numbers for production parts in accordance with company procedures.

  • Maintain and update serial number records in Epicor.

  • Maintain Quality Assurance record books and archived records.

  • Issue, monitor, and maintain inventory of production and shipping data plates.

  • Process replacement data plates in accordance with approved procedures.

  • Issue and maintain controlled Quality forms, tags, and Manufacturing Record Reports (MRRs).

  • Review MRRs for completeness and accuracy, scan documents, and upload records to the company intranet.

  • Issue and control employee inspection, Repair Station, ID, weld, brazer, and other authorized stamps.

  • Verify required training documentation before issuing controlled stamps.

  • Maintain stamp logs and conduct annual stamp audits.

  • Retrieve and secure stamps when employees transfer departments or separate from the company.

  • Monitor eye examination documentation and maintain records for employees requiring vision certification.

  • Issue and control torque seal to qualified inspectors and monitor expiration dates.

  • Receive, review, and file production travelers for accuracy, completeness, and legibility.

  • Maintain production, shipping, Repair Station, and overhaul records in accordance with company retention requirements.

  • Archive records and transfer completed files to long-term storage.

  • Coordinate witnessed destruction of records and maintain required documentation.

  • Monitor inventory and reorder records room supplies, including forms, binders, banker boxes, envelopes, stamps, data plates, and torque seal.

  • Retrieve records and documentation requested by internal departments, including Quality Assurance, Engineering, Customer Service, Legal, Warranty, Technical Representatives, Repair Station, and Overhaul.

  • Maintain accurate filing systems and ensure records are readily available for audits and regulatory compliance.

  • Perform other duties as assigned.
