Position Summary
The HR Clerk / Receptionist provides administrative and clerical support to the Human Resources department while managing the front reception area. This position serves as a professional and welcoming first point of contact for employees, applicants, visitors, and vendors. The HR Clerk / Receptionist assists with employee records, onboarding, attendance, payroll-related documentation, employee questions, and general office responsibilities while maintaining confidentiality and professionalism.
Essential Duties and Responsibilities
Reception & Administrative Support
- Greet employees, applicants, visitors, and vendors in a professional and friendly manner.
- Answer and direct incoming phone calls and messages.
- Maintain an organized and professional reception area.
- Assist visitors with sign-in procedures and direct them to the appropriate department.
- Receive, sort, and distribute incoming mail and documents.
- Assist with scanning, copying, filing, and maintaining company records.
- Prepare documents, forms, notices, and other HR-related materials.
- Maintain office supplies and notify management when supplies need to be reordered.
Human Resources Support
- Assist with the new-hire onboarding process, including preparation of employee paperwork and orientation materials.
- Assist with employee files and ensure required documents are properly maintained.
- Assist employees with basic HR questions and direct more complex questions to the HR Manager/HR Generalist.
- Assist with maintaining employee information in Paycom and other HR systems.
- Assist with employee badge/access card requests and documentation.
- Assist with tracking attendance, vacation, sick time, and other employee records.
- Assist with processing employee status changes, transfers, and terminations.
- Maintain confidentiality of employee and company information at all times.
- Assist with employment verification requests and other routine HR correspondence.
- Help ensure HR records are organized and audit-ready.
Payroll & Timekeeping Support
- Assist with reviewing employee timekeeping records and identifying missing or incorrect punches.
- Assist employees and supervisors with basic timekeeping questions.
- Collect and organize payroll-related documentation.
- Assist the HR team with weekly payroll preparation and verification.
- Assist with processing employee reimbursement and other payroll-related requests as assigned.
- Maintain accurate documentation for payroll and personnel records.
Employee Support
- Serve as a helpful point of contact for employees visiting the HR office.
- Assist employees with locating forms, policies, and HR resources.
- Help communicate HR announcements, employee events, and company notices.
- Support employee engagement activities and company events as needed.
- Maintain a professional, respectful, and service-oriented relationship with employees at all levels.
Additional Responsibilities
- Assist with HR audits and compliance-related projects.
- Assist with organizing employee files and preparing documentation for internal or external audits.
- Support safety, training, and employee engagement initiatives when needed.
- Perform other duties and special projects assigned by the HR Manager or HR Generalist.
