Records Specialist

The Records Specialist is responsible to support the functions and staff of the Wadena County Assessor’s Department by utilizing multiple applications, answering phone calls, customer service and generating and submitting reports to the MN Department of Revenue by statutory deadlines. Work is performed under the general supervision of the County Assessor or Chief Deputy Assessor.
Duties and Responsibilities
- Assists taxpayers, in person and via telephone, by answering questions and resolving problems regarding assessments, tax programs, tax computations and legal descriptions of property.
- Manages multiple special programs (Special Ag, Veteran Disability, Green Acres, Homestead, Exempt, Managed Forest, 4C Non-Profit) as directed by the Department of Revenue.
- Responsible for ensuring all special mailings and public notices are processed timely and verifying with other government agencies that the data is correct.
- Maintains accurate list of all property transfers.
- Secures all applications including social security numbers and/or income information.
- Distributes, processes, files and enters eCRV's and prepares report for the Department of Revenue.
- Enters, maintains and updates the sales ratio program.
- Distributes splits and combinations to assessor staff and assists in entering the new data and verifying that data is correct.
- Maintains mobile home data and files to ensure proper taxpayer receives notices and maintains value and classification files for proper tax calculation.
- Prepares forms and notices for Local and County Boards of Review and reports all changes to the Department of Revenue.
- Orders office supplies.
- Maintains MP listing to ensure proper taxation.
- Attends training/educational sessions, meetings and seminars.
- Maintains current knowledge of the Minnesota property tax system, laws, regulations, policies, assessment cycle and forms concerning property assessment and tax calculations.
- Enters building permits into CAMA system.
- Runs reports to ensure all new construction is viewed and maintained in CAMA.
