Regulatory Affairs Manager

The Regulatory Manager is responsible for ensuring all finished products and raw materials sold by Embassy Ingredients comply with applicable legal, regulatory, customer, and certification requirements. This role leads all product approval activities, supplier approval programs, change management processes, labeling compliance, and regulatory audits.

In addition, the Regulatory Manager provides leadership and direction to all members of the Regulatory Team, ensuring effective execution of customer compliance programs, documentation requests, traceability activities, and regulatory support functions. This position serves as the subject matter expert for regulatory compliance and drives continuous improvement across regulatory systems and processes.

What You Are Responsible For:

Regulatory Leadership & Team Management

  • Provide day-to-day leadership, coaching, training, and development for all Regulatory Team members.
  • Establish priorities, assign workload, and monitor completion of regulatory activities.
  • Conduct performance discussions, development planning, and regular one-on-one meetings.
  • Ensure consistent execution and continuous improvement of regulatory programs.
  • Develop and maintain regulatory procedures, work instructions, and best practices.
  • Support succession planning and cross-training within the regulatory function.
  • Represent Regulatory on cross-functional projects and leadership initiatives.

Product Approvals & Compliance

  • Oversees the regulatory compliance program to ensure all products manufactured meet national and international regulatory requirements.
  • Approves new finished goods through the commercialization process.
  • Maintains and communicates commercialization status through weekly reports.
  • Manages finished product technical data and regulatory packages.
  • Oversees product change control requests.
  • Oversees product inactivation activities.
  • Manages Labelview and all regulatory label generation activities.
  • Ensures compliance with applicable Canadian, U.S., and international regulations.

Supplier Approval & Supply Chain Quality

  • Oversees and continuously improves the supplier approval program.
  • Approves new raw materials and suppliers.
  • Completes supplier vulnerability assessments and risk evaluations.
  • Ensures supplier documentation remains current and compliant.
  • Oversees management of the DCN system.
  • Conducts supplier complaint investigations and RCA-CAPA activities.
  • Provides weekly raw material approval updates.
  • Approves production schedules from a regulatory perspective.
  • Maintains SFCR, FDA, and other required registrations and certifications.

Regulatory Programs & Audits

  • Leads all regulatory audits.
  • Participates in internal audits and facility inspections.
  • Acts as regulatory subject matter expert for customer, certification, and regulatory audits.
  • Supports BRCGS, HACCP, GMP, Allergen Management, Kosher, Halal, GFCP, Costco, customer, and regulatory requirements.
  • Supports regulatory compliance initiatives across all Embassy Ingredients facilities and operations.

Business Support

  • Provides regulatory guidance to R&D, Operations, Quality, Procurement, and Sales.
  • Supports commercialization and innovation projects.
  • Maintains expertise in all quality and regulatory systems including Spec Database, SharePoint, Office 365, CRM, Planner, and Business Central.

Oversight of Customer Excellence & Compliance Program

  • Ensures timely completion of customer document requests and customer portal updates.
  • Oversees management of the QA Inbox.
  • Manager all customer complains and oversees the complaint and return program. Reviews customer complaints and RCA-CAPA investigations for effectiveness.
  • Monitors completion of traceability exercises and recall readiness activities.
  • Provides escalation support for customer regulatory inquiries.
  • Ensures customer compliance metrics and response times are achieved.

Experience & Qualifications:

Education

  • University degree or college diploma in Food Science, Chemistry, Microbiology, Regulatory Affairs, or related field.
  • Equivalent industry experience may be considered.

Experience

  • Minimum 5 years of regulatory, food safety, quality assurance, or compliance experience in the food industry.
  • Demonstrated experience managing product approvals, supplier approval programs, and labeling compliance.
  • Previous experience leading projects, initiatives, or team members preferred.
  • Experience with BRCGS, HACCP, SFCR, FDA, and customer audit requirements.


This position is for a current vacancy with a compensation range of $70,000-$90,000.
