Cottage Hospital is seeking a friendly, organized, and detail-oriented Rehab Office Specialist to join our Physical Therapy Department on a per diem basis. In this role, you will serve as the first point of contact for patients receiving Physical, Occupational, Speech, and Cardiac Rehab services.
This position plays a key role in supporting daily operations by coordinating patient scheduling, managing referrals, verifying insurance, and assisting with front desk and administrative workflows. Job Summary
The Rehab Office Specialist is a non-licensed team member responsible for providing administrative and clerical support within the Rehab Department. Responsibilities include patient registration and scheduling, referral management, insurance verification, and coordination of billing-related processes to ensure efficient and seamless patient care delivery.
Key Responsibilities
Front Desk & Patient Interaction
- Greet and register patients upon arrival
- Verify demographic, insurance, and clinical information
- Collect co-pays and ensure accurate documentation
- Communicate patient arrivals to therapists via electronic systems
Scheduling & Referral Management
- Enter referrals and patient data into Cerner and WebPT
- Schedule therapy appointments and applicable testing
- Track cancellations, no-shows, and schedule changes
- Communicate with referring provider offices
Insurance & Billing Support
- Verify insurance coverage and authorization requirements
- Track authorized visits, Medicare caps, and eligibility
- Assist with charge entry and billing processes
- Collaborate with therapists and Revenue Cycle team
General Office Support
- Maintain office supplies and assist with correspondence
- Participate in department meetings and trainings
- Provide system support as a departmental resource when needed
