About the Client
An early-stage, well-capitalized company building modular, factory-prefabricated power infrastructure for next-generation large-scale computing demand is looking for an Associate to become the founder's right hand across hiring, vendor relationships, and day-to-day operations.
Having just closed a significant seed round at a nine-figure valuation from a strategic investor, the company is scaling its delivery pipeline aggressively in a fast-moving, resource-constrained environment where a single capable operator can have outsized impact on what actually gets built.
About the Role
This role exists because the founder is currently the single point of failure across hiring, supplier relationships, and day-to-day operations, with no dedicated support layer beneath him. The person in this seat will take ownership of inbox and calendar management, candidate pipeline coordination, live supplier and vendor relationships, and multi-state logistics — treating ambiguity as the job, not an obstacle to it.
Success means the founder can hand off an entire category of work and trust it will run without him — proactively surfacing fixes and efficiencies rather than just flagging problems, freeing him to focus on scaling the business.
Core Responsibilities
Founder Operations & Special Projects
- Own the founder's inbox and calendar end-to-end, surfacing what matters before it's asked for
- Solve complex, unstructured problems under pressure with no existing playbook
- Proactively surface cost and process optimizations
- Build and maintain a long-term operating structure for the founder's priorities
Hiring & Recruiting Coordination
- Schedule interviews and own candidate follow-up across open roles
- Set up onboarding materials and coordinate first meetings for new hires
- Run screening calls for select roles
Travel & Property Management
- Coordinate personal and employee travel across multiple US cities
- Manage day-to-day coordination for properties across multiple states
- Track property taxes and insurance filings
Financial & Tax Administration
- Liaise with CPAs on tax planning and document preparation
- Manage expense tracking, budgeting, and financial estimates
- Handle sensitive financial information with discretion
Supplier & Vendor Coordination
- Own a high volume of live outbound phone calls with suppliers
- Resolve operational issues independently and see them through to close
- Step in and solve supplier failures under time pressure
Requirements
Must-Have
- 3+ years of experience operating independently as a Chief of Staff, Founder's Associate, Operations Manager, or similar role with minimal day-to-day oversight
- Documented experience running live outbound vendor or supplier phone calls, not limited to email-based coordination
- Direct ownership of a founder or executive's inbox and calendar at a small, resource-constrained company
- Experience spanning at least two of: hiring/recruiting coordination, travel and property logistics, financial/tax administration, vendor management
- Working knowledge of AI tools for drafting, research, and workflow automation, with the ability to edit and validate output rather than submit it unedited
- C1+ English (CEFR) with a confident, clear phone presence suitable for live outbound calls
- Full working-hours overlap with US business hours (EST, CST, or PST)
Nice-to-Have
- Real estate or property-operations experience (contractor coordination, taxes, insurance across multiple properties)
- Background at an early-stage or fast-scaling, resource-constrained company
- Prior title history as Chief of Staff, Founder's Associate, Operations Lead, or Executive Assistant
- Prior recruiting or interviewing experience
- US-based education
