Retail Fulfillment Manager
ABOUT EVERYDAY DOSE
Everyday Dose is a functional coffee company on a mission to help people feel better, think clearer, and perform at their best, without the crash that comes with regular coffee. We're a fast-growing, nine-figure D2C brand with a loyal, high-retention subscriber base, and we're scaling our retention function to match our ambitions.
ABOUT THE ROLE
We’re hiring a Retail Fulfillment Manager to own the end-to-end execution of our retail order fulfillment operation. Reporting to the Director of Fulfillment, you’ll serve as the primary day-to-day owner of our retail 3PL relationship and make sure every retail purchase order gets where it needs to go, complete and on time.
This is a hands-on individual contributor role with no direct reports. You’ll manage everything from purchase order execution and dock appointments to retailer compliance, chargebacks, inventory accuracy, and 3PL performance. When something breaks, you’ll dig into the root cause, involve the right partners, and drive it through resolution.
As our retail footprint grows, you’ll also help build the processes, reporting, and accountability needed to make our fulfillment operation increasingly predictable and scalable.
This role is fully remote, with a hybrid option available for candidates based in Austin, TX.
Requirements
WHAT YOU'LL OWN
You’ll take primary ownership of several core areas of our retail fulfillment operation:
- Retail Order Fulfillment: Own retail purchase orders from receipt through shipment, proactively identifying risks and resolving issues before they impact delivery.
- 3PL Performance: Serve as the primary point of contact for our retail 3PL and hold partners accountable to documented SLAs and performance expectations.
- Retailer Compliance: Own routing-guide compliance, dock appointments, retailer onboarding requirements, deductions, and chargeback management.
- Inventory: Maintain visibility into retail inventory and help ensure we have enough product to support demand without creating unnecessary excess.
- Operational Performance: Build and maintain the reporting, scorecards, and KPIs needed to understand performance and continuously improve our retail fulfillment operation.
WHAT YOU'LL DO
- Own retail POs: Manage the full lifecycle of retail purchase orders from receipt through ship confirmation, ensuring orders are filled completely and on time.
- Get ahead of fulfillment issues: Proactively identify inventory shortages, carton or case-pack mismatches, labeling issues, and other risks and drive resolution before ship dates are impacted.
- Manage our 3PL: Serve as the primary day-to-day contact for our retail 3PL, run recurring performance reviews, maintain scorecards, and hold partners accountable for accuracy, processing times, damages, and mis-ships.
- Drive corrective action: Diagnose the root causes behind fulfillment breakdowns and drive corrective action plans when partners fall below expectations.
- Manage retailer compliance: Monitor retailer and distributor requirements, maintain compliance reporting, and ensure issues are addressed before they negatively impact retailer scorecards.
- Own chargebacks and deductions: Investigate retailer deductions, dispute invalid charges, maintain a running log, and file claims with our 3PL when fulfillment errors result in chargebacks.
- Manage dock appointments: Review and confirm outbound appointments within retailer routing-guide requirements and coordinate with carriers, brokers, retailers, and our 3PL to resolve conflicts, delays, and capacity constraints.
- Support retailer launches: Lead operational item setup for new retail accounts, including item data, GTIN and case configuration, retailer portal submissions, samples, and onboarding checklists.
- Manage fulfillment documentation: Own vendor compliance requirements including item specifications, pallet configurations, UCC-128 labeling, ASN compliance, and applicable regulatory workflows.
- Validate invoices: Audit 3PL and freight invoices against contracted rates and accessorial charges, identify discrepancies, and partner with Finance and Logistics to resolve them.
- Optimize inventory: Monitor retail SKU inventory and maintain appropriate safety stock to prevent stockouts without creating unnecessary overstock.
- Maintain inventory accuracy: Support cycle counts and reconcile discrepancies between our 3PL’s WMS and Everyday Dose’s system of record.
- Manage aging inventory: Identify slow-moving and aging inventory and partner with Procurement and Retail/Ops on disposition plans.
- Build reporting: Maintain live PO tracking and KPI dashboards and provide Operations and Retail leadership with clear visibility into performance, risks, and recommended next steps.
- Improve how we operate: Identify and implement process improvements that reduce cost per order, improve fulfillment cycle time, and make our retail operation more scalable.
WHAT WE'RE LOOKING FOR
- 5–7 years of experience in retail fulfillment, supply chain, or 3PL/warehouse operations management, ideally within CPG.
- Demonstrated experience directly managing a 3PL relationship, including SLA enforcement, performance scorecards, escalations, and corrective action plans.
- Hands-on experience with major retailer compliance and routing-guide requirements, such as Walmart, Target, or Costco.
- Working knowledge of EDI and ASN processes.
- Experience auditing freight and 3PL invoices and resolving billing discrepancies.
- Strong understanding of inventory management principles, including safety stock, reorder points, cycle counting, and inventory turns.
- Advanced Excel or Google Sheets skills and experience working within WMS, ERP, or inventory management systems.
- Strong analytical and problem-solving skills with the ability to identify root causes and turn data into clear next steps.
- Excellent written and verbal communication skills and confidence holding external partners accountable.
- Highly organized and comfortable managing multiple orders, partners, deadlines, and retailer requirements at once.
- Comfortable operating in a fast-moving environment where priorities can shift quickly as our retail business grows.
NICE TO HAVE
- Bachelor’s degree in Supply Chain Management, Business, Logistics, or a related field.
- APICS/CPIM, CSCP, or Lean Six Sigma certification.
- Experience scaling retail fulfillment operations within a high-growth CPG or DTC-to-retail brand.
- Familiarity with GS1 labeling standards and UCC-128 case labels.
- Experience managing retailer chargeback resolution processes.
- Experience with SOS Inventory, NetSuite, or similar inventory/ERP systems.
WHAT SUCCESS LOOKS LIKE
Within your first two quarters, you’ve taken full ownership of our retail fulfillment operation and 3PL relationship and created clear visibility into how we’re performing.
Retail orders are consistently shipping complete and on time, dock appointments and retailer requirements are being managed proactively, and fulfillment-related chargebacks and deductions are tightly controlled. Inventory is accurate and positioned to support retail demand without unnecessary overstock.
You’ve established strong operating rhythms and accountability with our 3PL, built reliable KPI reporting, and are using data and root-cause analysis to address issues before they become recurring problems.
Most importantly, our retail fulfillment operation is becoming more predictable and scalable as Everyday Dose continues to grow.
