Retail Operations Manager
The Role:
As Retail Operations Manager, you will own how our retail orders move from receipt through fulfillment, delivery, and invoicing as we expand our distribution. Success means orders are processed accurately, shipment and invoice requirements are met, and exceptions are resolved early enough to protect retailer commitments.
You will be Snif’s primary owner for retail order execution, responsible for keeping each order moving, resolving operational exceptions within agreed guidelines and escalating inventory allocation, commercial, or spending decisions that require approval. You will work closely with Sales, Procurement and Inventory, Finance, and our manufacturing and fulfillment partners to make sure requirements are clear and commitments are met.
This is a hands-on individual-contributor role. When inventory is short, an EDI document is rejected, or a shipment is at risk, you will identify the issue early, bring the right partners together, and drive it to resolution.
As Snif expands its retail distribution, you will help shape the processes, reporting, and tools the business relies on, working directly with the VP of Operations to improve how we serve our retail partners.
This role will report directly to the VP of Operations.
While we are based in New York City, we operate as a remote team. This job may require travel ~10-20% of the time depending on business needs.
What You'll Do:
- Own daily order management across our retail channels, including Ulta, Ulta International, Amazon, and future distribution expansion
- Validate incoming purchase orders against approved item data, pricing, quantities, inventory availability, and delivery requirements; resolve discrepancies before confirming orders
- Partner with Procurement and Inventory to identify shortages, execute agreed fulfillment priorities, and communicate risks with recommended actions
- Coordinate with fulfillment providers to meet retailer requirements for order confirmation, routing, labeling, shipping documentation, pickup, and delivery
- Monitor EDI transactions and retailer portals, resolve missing or rejected documents, and verify that required order, shipment, and invoice information has been successfully received
- Prepare and submit accurate invoices, reconcile ordered, shipped, and invoiced quantities, and partner with Finance to resolve discrepancies and deductions
- Investigate operational chargebacks, prepare dispute documentation, track deadlines, and address recurring causes
- Own retail order-execution readiness for new retailer and item launches, including operational data checks, test orders, documented workflows, and clear handoffs with Commercialization, Sales, Procurement and Inventory, and fulfillment partners
- Maintain accurate order records and reporting by retailer and distribution center, with clear deadlines, shipment status, exceptions, and next actions
- Improve procedures, service reporting, and backup coverage; simplify or automate repetitive work and verify that changes improve accuracy and reliability
What You'll Bring:
- 3+ years of relevant experience in wholesale order management, retail operations, or customer operations within a consumer products business
- Experience personally managing national retailer orders from receipt through delivery and invoicing, including resolving exceptions across internal teams and fulfillment partners
- Experience supporting multiple distribution centers and meeting retailer routing and compliance requirements
- Hands-on experience monitoring EDI transactions, diagnosing operational errors, and working with providers to resolve them
- Experience working directly with third-party warehouses and transportation partners on fulfillment and delivery issues
- Strong Excel or Google Sheets skills, including reconciling order, inventory, shipment, and invoice data
- Sound judgment when priorities compete, with the ability to explain risks, recommend actions, and recognize when a decision requires approval
- Clear communication, careful attention to detail, and consistent follow-through
- Examples of improving an operating process, with a clear explanation of your contribution and the resulting change in accuracy, service, or manual effort
Bonus Points:
- Experience in beauty, fragrance, personal care, or home products
- Familiarity with OpenText, ShipIQ, Partners Online, or comparable retailer systems; experience improving workflows through ERP systems or automation
- Proficiency in LLMs (e.g., Claude, GPT)
- Experience supporting new retailer launches or managing Amazon fulfillment alongside national wholesale accounts
