Return Material Authorisation (RMA) Specialist
Summary
Manages Return Material Authorisation (RMA) processes for logistics projects, coordinating technical assessments, repairs, and replacements to minimize downtime and control inventory exposure.
Working Hours: Monday – Friday @ 9am – 6pm (May be required to perform standby duties on weekdays and weekends as and when required)
Working Location: Kallang, Kim Chuan Depot, Tuas Depot; Ten Mile Junction in Bukit Panjang
Purpose of the Job
- The RMA Specialist is responsible for the end-to-end technical and operational management of Return Material Authorisation (RMA) activities across three LTSS projects.
- The role focuses on the timely identification, technical assessment, troubleshooting, tracking, and closure of defective, excess, or non-conforming materials.
- The role plays a key part in minimising equipment downtime, improving material reliability, controlling inventory exposure, and supporting contractual SLA requirements.
Responsibilities:
1. RMA & Technical Engineering Management
- Act as the key point of contact for RMA-related technical and operational activities across the assigned three LTSS projects.
- Manage the end-to-end RMA lifecycle, including:Technical assessment and identification of defective or non-conforming materials.RMA initiation and technical justification.Troubleshooting and preliminary failure diagnosis.Coordination with OEMs, suppliers, subcontractors, and engineering teams for technical evaluation.Recommendation and coordination of repair, replacement, refurbishment, or credit actions.Verification of repaired or replacement materials prior to RMA closure.
- Ensure RMAs are raised, investigated, tracked, and closed within agreed SLA timelines.
2. Engineering & Cross-Functional Coordination
- Liaise closely with:Project Engineering TeamsEngineering & Technical SupportField Service / Maintenance TeamsWarehouse & LogisticsOEMs, suppliers, and service vendors
- Coordinate material return movements, including technical packing requirements, shipping documentation, and handover to logistics teams.
3. Inventory, Equipment & Risk Control
- Monitor RMA-related inventory exposure
- Ensure accurate technical and inventory status updates in ERP, WMS, and relevant tracking systems.
- Support root cause identification to prevent repeat defects and unnecessary RMAs.
4. Technical Reporting & Documentation
- Maintain a centralised RMA tracker covering all three LTSS projects
- Prepare weekly and monthly technical RMA reports for Engineering, Supply Chain, and Project stakeholders.
- Analyse RMA trends and highlight recurring failures, technical risks, overdue cases, and cost impacts.
5. Engineering Compliance & Quality
- Ensure RMA activities comply with applicable engineering specifications, warranty requirements, supplier agreements, contractual LTSS obligations, and internal quality procedures.
- Maintain accurate supporting documentation (cause analysis, acceptance/rejection notes, credit references).
6. Continuous Engineering Improvement
- Identify recurring failure trends and work with engineering and suppliers on corrective actions.
- Propose process improvements to reduce RMA cycle time, cost, and operational impact.
- Support audits, reviews, and lessons-learned sessions across LTSS projects.
Requirements:
- Bachelor's Degree in Engineering, Supply Chain Management or related field
- Experience in operational management, preferably in a manufacturing or maintenance-heavy environment
- Experience with Lean or Six Sigma methodologies
- Ability to manage multiple priorities in a fast-paced environment
- Advanced Microsoft Office (PPT/Excel) skills
- Experience with GSI SAP
- Proficient in ERP systems and inventory management tools.
