Great customer experiences don't happen by accident. They happen when the right teams, systems, and processes work together seamlessly.

As the Revenue Operations Coordinator, you'll be at the center of that connection - working across Sales, Account Management, Finance, and Systems to make sure customer handoffs happen smoothly and information stays accurate from the moment a deal closes through onboarding, invoicing, reporting, and ongoing account support.

This is more than a coordination role. You'll be the go-to owner for critical post-sale processes, helping identify where things break down, improving workflows, and partnering with Revenue Operations leadership to make our processes smarter and more efficient.

The initial focus of this role will be on enterprise accounts, where the need for strong coordination and system accuracy is greatest. As processes become more streamlined and automated, you'll have the opportunity to support additional segments and teams across the CRO organization.

What You'll Do

Own Customer & Account Data

  • Maintain accurate account and user information across NGLX, Nova, NetSuite, Docebo, and HubSpot.
  • Own company and contact records in HubSpot.
  • Help improve automation and data flows between organizations, users, and systems.
  • Identify and resolve data inconsistencies that could impact the customer experience or internal reporting.

Manage Sales Orders & Contracts

  • Review NetSuite sales orders to ensure they are configured correctly.
  • Partner with Accounting to correct renewal contract lines and resolve discrepancies.
  • Submit bulk and enterprise sales orders to Accounts Receivable following completed contract signatures.
  • Cancel inactive sales orders and maintain a clean, accurate book of business.
  • Route completed contracts to Sales, Accounts Receivable, and other internal stakeholders.

Support Contract-Based Invoicing

  • Send monthly invoices based on contract-specific terms.
  • Maintain accurate account and billing records.
  • Coordinate internally to resolve invoicing discrepancies.

Administer Learning Platforms & Programs

  • Build personalized learning plans in partnership with Account Managers based on organizational needs.
  • Create Docebo groups and cohorts to support organization-specific reporting and tracking.
  • Create and manage study clubs in NGLX, including members, leaders, and coordinators.

Deliver Reporting & Insights

  • Build and distribute monthly executive reporting for stakeholder organizations.
  • Manage reporting distribution lists.
  • Distribute Docebo user detail, enrollment, and completion-rate reports.
  • Monitor data and reporting to help internal teams understand customer engagement and usage.

Connect the Dots Across Teams

  • Coordinate internally around disengaged-account signals, roster changes, and invoicing discrepancies, ensuring issues are routed to the right team.
  • Own and continuously improve the post-sale handoff process between Sales, Account Management, and Finance/Accounts Receivable.
  • Identify broken handoffs and opportunities to streamline workflows rather than simply working around them.
  • Partner with Revenue Operations leadership on process design and ongoing improvements.

What We're Looking For

We're looking for someone who enjoys being the person who makes things work.

You don't need to know every system on day one. You do need to be curious, organized, detail-oriented, and comfortable working across multiple teams and systems.

The ideal candidate will bring:

  • Experience working with multiple business systems, ideally including a CRM, ERP, or learning management system.
  • Strong attention to detail and a commitment to data accuracy.
  • A process-oriented mindset and natural curiosity about how things work.
  • The ability to recognize a broken process and think about how to fix the workflow—not just work around it.
  • Strong internal communication and cross-functional collaboration skills.
  • The ability to manage multiple priorities and stakeholders while keeping work moving.
  • Comfort working with contracts, billing information, reporting, and operational data.
  • A willingness to learn new systems and become a subject matter expert in the processes you own.

What We Offer
