Safety & Fleet Manager

Position Summary

The Safety & Fleet Manager is responsible for leading and maintaining the company's safety program while overseeing
the safe, efficient, and professional operation of the company's vehicle and equipment fleet.

This position will spend significant time in the field, visiting active job sites, coaching employees and subcontractors on
safe work practices, identifying hazards, documenting corrective actions, and ensuring company safety standards are
consistently followed.

The Safety & Fleet Manager will also oversee company vehicles, trailers, and assigned equipment, including inspections,
maintenance, driver accountability, registrations, insurance documentation, and overall fleet condition.

The goal of this position is simple: protect our people, protect the public, protect the company, and keep our
fleet operating safely and efficiently.

Safety Management

• Develop, implement, and enforce the company’s safety program, policies, and procedures in compliance with OSHA standards, Florida safety regulations, and applicable construction-industry requirements.

• Conduct regular and unannounced job site safety inspections to identify unsafe conditions, hazards, and behaviors; enforce PPE and safe-work requirements; ensure timely corrective action; and track recurring or serious violations for escalation to management.

• Monitor high-risk activities and job site conditions, including excavations, trenching, open pools, fall hazards, electrical work, ladders, scaffolding, confined spaces, heavy equipment, lifting operations, silica exposure, vehicle movement, and other applicable construction hazards.

• Conduct and coordinate safety training, including new-hire safety orientations, toolbox talks, safety meetings, and ongoing employee training. The ability to conduct OSHA-related training is preferred; candidates who are not currently certified will be encouraged and supported in obtaining the appropriate certification.

• Maintain accurate safety and compliance records, including OSHA logs, inspection records, training and certification records, SDS documentation, incident reports, and other required safety documentation.

• Investigate accidents, injuries, property damage, vehicle incidents, and near misses, prepare detailed reports, identify contributing or root causes, and recommend corrective actions to prevent recurrence.

• Coordinate OSHA compliance and regulatory matters, including required documentation and preparation for OSHA inspections, investigations, and related inquiries, while assisting company leadership as needed.

• Coordinate workers’ compensation reporting and return-to-work procedures and monitor safety-related trends to help reduce workplace injuries, OSHA violations, liability, workers’ compensation costs, and the company’s Experience Modification Rate (EMR).

• Ensure subcontractors comply with company, OSHA, and contractual safety requirements, and monitor compliance with company risk-management policies related to drug and alcohol use, vehicle safety, and other applicable safety practices.

• Maintain and communicate emergency-response procedures for job sites and company facilities and promote a strong safety culture where every employee understands that safety is a shared responsibility, not solely the responsibility of the Safety Manager.

• Perform other safety-related and miscellaneous duties as requested by management.

Fleet Management
• Manage the company's fleet of trucks, vans, trailers, and other assigned vehicles/equipment.
• Maintain an accurate fleet inventory including VINs, assigned drivers, mileage, registration, insurance, maintenance
history, and vehicle condition.
• Establish preventive-maintenance schedules and ensure vehicles are serviced on time.
• Coordinate repairs with dealerships, mechanics, body shops, tire vendors, and other service providers.
• Conduct or coordinate routine vehicle inspections.
• Ensure company vehicles remain clean, safe, organized, and professionally presented.
• Monitor vehicle mileage, fuel usage, tolls, maintenance costs, and unnecessary expenses.
• Manage fuel cards and investigate unusual or unauthorized fuel purchases.
• Maintain registrations, insurance cards, license plates, permits, and other required vehicle documentation.
• Coordinate vehicle assignments, transfers, replacements, purchases, and disposals with management.
• Track accidents, damage, tickets, and driver-related incidents.
• Establish driver accountability standards and ensure employees report vehicle damage immediately.
• Monitor GPS/telematics systems where applicable and address unsafe driving behavior such as speeding, harsh braking, excessive idling, or unauthorized vehicle use.
• Ensure trailers and company equipment are properly maintained and safely transported.
Driver Safety & Accountability
• Verify that employees operating company vehicles maintain valid driver's licenses and meet company driving
requirements.
• Review motor vehicle records as required by company policy and insurance requirements.
• Train employees on company vehicle policies and safe-driving expectations.
• Investigate vehicle accidents and coordinate documentation with management, insurance carriers, and other appropriate parties.
• Recommend corrective action, retraining, or loss of driving privileges when appropriate.
• Maintain clear records of vehicle assignments and employee responsibility.

Safety Authority

The Safety & Fleet Manager has the authority to immediately stop work when an imminent or serious safety hazard
exists and require the condition to be corrected before work resumes.

Serious safety violations must be immediately communicated to the appropriate Project Manager, Superintendent,
Director of Operations, and/or executive leadership.

Leadership Expectations

The Safety & Fleet Manager is expected to be highly visible in the field and develop strong relationships with employees
while maintaining clear standards and accountability.
This individual should be proactive rather than reactive. The expectation is not simply to document problems after they
occur, but to identify risks early and prevent incidents.
