The Sales Administrator will provide end-to-end sales administration support to the Sales team, ensuring quotations, contracts, service orders, CRM records, and sales reports are accurately maintained and processed in a timely manner. The role is responsible for ensuring smooth coordination of sales activities, proper documentation, and compliance with internal processes. The ideal candidate is detail-oriented, organised, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
Prepare and issue sales quotations, standard contracts, and service orders in accordance with approved pricing and company guidelines.
Maintain accurate records of quotations and follow up on pending approvals and outstanding quotations.
Process and track signed service orders and contracts, ensuring all required documentation is complete and properly filed.
Update and maintain sales reports, dashboards, and CRM records with accurate and timely information.
Generate weekly and monthly sales performance reports for management review.
Monitor the sales order process and coordinate with internal teams to ensure timely processing and fulfilment.
Organise and maintain sales contracts, agreements, quotations, and supporting documents.
Ensure all sales documentation complies with internal approval processes and company policies.
Coordinate with Finance on billing-related documentation, payment status, and other sales administration matters where required.
Coordinate with Marketing on sales and promotional activities, including preparation of name cards, brochures, and other marketing materials.
Provide administrative and coordination support to the Sales team to ensure smooth day-to-day operations.
Proactively recommend and implement improvements to sales administration processes.
Introduce practical automation, standardisation and tracking mechanisms to improve efficiency and reduce errors.
Requirements
Minimum Diploma or Degree in Business Administration, Management, Sales Administration, or a related field.
1–3 years of relevant experience in sales administration, sales coordination, or a similar role.
Experience in an IT services or managed services environment will be an advantage.
Strong administrative, organisational, and coordination skills with good attention to detail.
Good communication and interpersonal skills, with the ability to work effectively with Sales, Finance, Marketing, and other internal teams.
Proficient in Microsoft Office and/or Google Workspace, particularly Excel/Google Sheets.
Experience with CRM systems and sales reporting is an advantage.
Able to manage multiple tasks and work effectively in a fast-paced environment.
