Overview

The Golf Sales Administrator provides day-to-day administrative and operational support to the golf sales team, spanning UA Golf, lululemon, and GEAR product lines. This role owns sales reporting and analytics, rep support, event and tournament coordination, ambassador program administration, catalog and signage fulfillment, and rep onboarding and contracts. The ideal candidate is highly organized, comfortable managing multiple recurring deadlines across brands, and serves as a reliable first point of contact for the sales rep team.

Job Responsibilities

Sales Reporting & Analytics

Prepare and distribute UA Golf sales reports, including the Sales Drive, Lagging Report, Door Count Report, and Program Tracker (sales and usage)

Maintain and publish the Golf Sales Leaderboard

Prepare quarterly IDR reports and ambassador sales reporting

Prepare and distribute lululemon sales reports, including the Sales Drive and Seasonal Brand Sales report

RepSpark & Systems Administration

Set up and onboard new RepSpark users

Maintain and update brand microsites

Add and code new customer accounts

Monitor current inventory reports, including lululemon inventory

Rep Communications

Compile and send the weekly “From the Fairway” newsletter to reps every Friday, along with the Sales Drive report

PGA Show Coordination

Book hotel accommodations for the show

Coordinate dinner reservations

Plan meeting room layout and setup

Coordinate rep awards

Prep samples and materials needed for the show

Tournament Support

Assist with organizing and mailing out staff uniforms.

Track tournament setup and ending counts

Process replenishment orders on site

Support merchandising and restocking

Provide direction to staff on-site

Ambassador Program

Manage VIP sign-ups

Maintain the Ambassador Portal

Track ambassador sales performance

Rep Training & Onboarding

Build the rep training schedule

Print training materials needed for sessions

Schedule rep travel and reservations

Set up new reps in UKG and Oracle

Required to be in office to help facilitate smooth training from department to department along with organizing meals

Rep Contracts & Compensation

Prepare rep contracts, including commission, draw (where applicable), and sample charges

Distribute contracts to reps at year end

Collect signed copies and file in the shared folder

Catalog Distribution

Distribute seasonal UA catalogs for Spring and Fall

Distribute GEAR catalogs

Distribute seasonal lululemon catalogs (four seasons)

Fulfill additional catalog requests from reps

Signage & Fixtures

Track signage and fixture requests in the tracking spreadsheet

Coordinate fixture approvals based on budget availability

Route approved fixture requests to the appropriate team for fulfillment

Submit signage (POP) orders to the print vendor

Rep Support & Customer Service

Serve as the first point of contact for rep needs and questions

Field and resolve customer questions

Set up and code new customer accounts

Samples Management

Coordinate with brand partners to ensure salesman samples are placed and delivered to reps

Maintain an up-to-date rep list

MDF (Market Development Funds)

Place approved MDF orders on behalf of the sales team

Minimum Qualifications

  • Bachelor’s degree in relevant field or equivalent experience
  • Two years of related experience
  • Travel required and able to work in a fast-paced environment
  • Strong organizational skills with the ability to manage multiple recurring reports and deadlines across several brands
  • Proficiency in Microsoft Excel and reporting tools; experience with RepSpark, UKG, or Oracle is a plus
  • Excellent written and verbal communication skills for regular rep- and customer-facing correspondence
  • Comfortable coordinating logistics for events and tournaments (travel, hotel, and vendor coordination)
  • Detail-oriented with strong follow-through on contracts, approvals, and order fulfillment
  • Ability to work cross-functionally with sales, marketing, and print/production partners
