Sales Administrator

The Sales Administrator provides administrative and operational support to the Sales & Business Development team to ensure the efficient management of customer enquiries, quotations, sales orders, and project documentation. The role acts as a key liaison between customers, sales, operations, logistics, procurement, and finance to ensure timely delivery of products and services while maintaining a high level of customer satisfaction.

Key Responsibilities

  • Provide day-to-day administrative support to the Sales team.
  • Prepare and issue quotations, sales orders, purchase requisitions, and other sales-related documentation accurately and promptly.
  • Process customer enquiries and coordinate with internal departments to ensure timely responses and order fulfilment.
  • Maintain and update customer records, sales databases, and CRM systems.
  • Coordinate equipment availability, delivery schedules, and logistics with the Operations and Workshop teams.
  • Track customer orders from quotation through delivery and invoicing, ensuring all milestones are met.
  • Liaise with Procurement on supplier quotations, purchase orders, and delivery timelines.
  • Prepare customer documentation, including delivery notes, equipment lists, certificates, and commercial documents.
  • Monitor outstanding quotations and follow up with customers and the Sales team where appropriate.
  • Support the preparation of sales reports, forecasts, and management presentations.
  • Assist with tender submissions by compiling technical and commercial documentation.
  • Coordinate customer meetings, travel arrangements, and business development activities when required.
  • Ensure all sales documentation complies with company procedures and quality standards.
  • Provide excellent customer service by responding professionally and promptly to customer enquiries.
  • Perform other administrative duties assigned by the Sales Manager.

Qualifications

  • Diploma or Degree in Business Administration, Sales, Marketing, Logistics, or a related discipline.
  • Relevant administrative or sales support certifications are an advantage.

Experience

  • Minimum 2 years of experience in a Sales Administration, Sales Support, Customer Service, or Commercial Administration role.
  • Experience in the offshore, marine, oil & gas, engineering, industrial equipment, or rental industry is preferred.
  • Experience supporting quotations, order processing, and customer account management.

  • Ability to manage multiple tasks and prioritise effectively in a fast-paced environment.
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Experience using ERP systems (such as SAP, Microsoft Dynamics, IFS, or Oracle) and CRM platforms is an advantage.
  • Commercial awareness with a customer-focused mindset.
  • Ability to work independently and collaboratively across departments.
  • Strong problem-solving skills and a proactive approach to work.
