Sales and Admin executive

Key Responsibilities

Sales & Account Management

  • Drive revenue by actively handling inbound inquiries, generating proposals, and closing sales for corporate events, private functions, and general clientele.

  • Build and nurture strong relationships with existing account holders and event planners to encourage repeat bookings and account growth.

  • Assist with proactive outreach, lead qualification, and attending client meetings, site visits, or industry networking events.

Sales Operations & Order Processing

  • Manage the end-to-end transaction workflow: generate quotations, issue invoices, and process purchase/delivery orders.

  • Act as the primary bridge between sales, kitchen/operations, and finance to ensure seamless event execution, accurate billing, and timely delivery.

  • Resolve client inquiries, order discrepancies, and service issues promptly to maintain operational flow and high satisfaction.

  • Support tender submissions, draft customised business proposals, and maintain accurate sales reporting metrics for management.

Marketing & Promotions Coordination

  • Collaborate with marketing teams to support seasonal promotions, menus, and special event campaigns.

  • Oversee on-site visual merchandising, ensuring digital screens, physical display boards, and entry signage are accurate and updated.

Administration & Systems Management

Maintain client CRM databases, contract records, interaction histories, and sales documentation with high accuracy.

Manage office administrative functions, including office supply inventory, general facility requirements, and vendor coordination.

Qualifications & Requirements

  • Experience: 2–4 years of experience in sales administration, account management, event coordination, or front-of-house customer service (experience in hospitality, F&B, or corporate catering is highly advantageous).

  • Education: Diploma or Bachelor’s degree in Business Administration, Hospitality/Event Management, Marketing, or a related field.

  • Technical Skills:

    • Proficient in Microsoft Office (Excel, Word, PowerPoint) or Google Workspace.

    • Hands-on experience with CRM/ERP software, POS systems, or sales order management systems (eg. Xero software)

  • Competencies & Soft Skills:

    • Communication: Excellent verbal and written communication skills for client presentations and inter-departmental coordination.

    • Organization: Strong multi-tasking and time-management abilities with strict attention to accuracy in order processing and billing.

    • Problem-Solving: Proactive attitude with a customer-centric approach to resolving client issues and operational bottlenecks.

    • Sales Acumen: Basic negotiation skills, confidence in handling client inquiries, and a target-driven mindset.
