THE ROLE
We are hiring a Sales and Operations Coordinator to support the Head of Sales and Operations. This is a hands-on, full-time role for someone who wants real ownership over how a company runs sales and operations day to day.
Reporting directly to the Head of Sales and Operations, you will act as their right hand, keeping sales and operations running day to day and making sure commitments made get done.
WHAT YOU WILL DO
Own follow-ups on open items across sales and operations, from customer replies to internal action items, so nothing sits untouched
Manage calendars, coordinate scheduling, and prep meeting agendas and notes
Build and maintain spreadsheets and dashboards for sales, inventory, and operations reporting
Pull and format weekly and monthly reports from internal tools
Handle sample shipping, outgoing quality checks, track shipments, and schedule follow ups with stakeholders
Track action items across meetings, Slack, and email, and follow up directly with owners on status and deadlines until each one is closed
Follow up on the status of key initiatives, checking in on things like vendor order confirmations and outgoing shipments
Maintain a single running list of open items across both directions, with owner and due date, and flag anything overdue or at risk
Write and maintain SOPs for recurring sales and operations workflows so know-how is captured rather than kept in one person's head
Keep documentation current as processes change, and flag any workflow that has not been written down yet
Take on ad hoc research and administrative projects as they come up
WHAT WE ARE LOOKING FOR
1-3 years of experience in an admin, coordinator, or executive assistant role, ideally in a fast-moving sales or operations environment; also open to recent graduates and students in their final year of study with relevant internship or part-time experience
Strong proficiency in Excel or Google Sheets: comfortable with formulas, pivot tables, and building trackers from scratch
Detail-oriented and organized, comfortable juggling multiple trackers, deadlines, and follow-ups at once
Comfortable following up with people, including holding others accountable to deadlines they have committed to
Clear written communicator who can draft a professional email or message without heavy editing
Reliable, shows up, and follows through without needing reminders
Comfortable asking questions and flagging problems early rather than guessing
COMPENSATION & DETAILS
• $29.00 to $34.00/hour
• Full-time
• Onsite at dot.cards HQ in Culver City, CA
• Start date: as soon as we find the right person
• Reports to: Head of Sales and Operations
