Key Responsibilities (What You Are Doing)

  • Support the sales team with day-to-day sales coordination and administrative responsibilities across assigned accounts within Hearst Magazines' portfolio of 30+ brands.
  • Coordinate meetings for the VP of Sales and sales team, including scheduling, preparing meeting materials, reserving conference rooms, and managing virtual meeting links.
  • Assist with travel arrangements and expense submissions for the VP of Sales and sales team as needed.
  • Maintain shared calendars, contact lists, sales materials, and other Pod resources to ensure the team stays organized and informed.
  • Partner with Business Managers to process insertion orders and maintain critical sales documentation with accuracy and attention to detail.
  • Assist with the entry, maintenance, and tracking of advertising orders, contracts, and campaign information across print, digital, and social platforms.
  • Prepare competitive share-of-market reports and other sales analyses to support business planning and client conversations.
  • Assist with client prospecting by monitoring trade publications, competitive activity, and industry trends for relevant opportunities.
  • Support post-sale follow-up activities and provide administrative support throughout the campaign lifecycle to help ensure a seamless client experience.
  • Build strong relationships with internal partners and demonstrate initiative, organization, and a commitment to delivering exceptional support in a fast-paced environment.

Qualifications (What We’re Looking For)

  • 1+ years of experience in sales support, advertising, media, marketing, customer service, or a related field, or equivalent experience.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and commitment to delivering accurate, high-quality work.
  • Excellent written and verbal communication skills.
  • Self-motivated with a proactive approach to problem-solving and learning new skills.
  • Comfortable working with Microsoft Office Suite, particularly Excel, PowerPoint, and Outlook; experience with sales or CRM platforms is a plus.
  • Ability to collaborate effectively with cross-functional teams while providing outstanding internal and external customer service.
  • This role is based in New York City and follows a hybrid schedule with an expectation of working in the office four days per week.

The base salary for this role is $50,000. This position is not eligible for bonus or commission compensation. Actual compensation will be determined based on experience, skills, qualifications, and location.
