Sales Assistant (CONSTRUCTION)
Job Description:
The Sales Assistant supports the Company’s sales and business development activities in the construction industry. This role assists with customer communication, sales quotations, contracts, order and delivery coordination, sales administration, and payment follow-up. The Sales Assistant works closely with customers, transporters, project teams, and internal departments to ensure smooth execution of sales and rental activities and timely delivery to construction sites.
Key Responsibilities:
Sales & Business Development
Assist in developing new business opportunities in line with the Company’s local sales strategy.
Identify, approach, and maintain good relationships with new and existing customers in the construction industry.
Conduct sales meetings, customer visits, and follow-ups to identify potential sales and rental opportunities.
Prepare and follow up on sales quotations, proposals, and other sales-related documents.
Assist in negotiating and finalising sales and rental contracts with customers, subject to the required management approval.
Monitor sales activities and maintain accurate records of customers, quotations, contracts, and sales opportunities.
Project & Delivery Coordination
Coordinate with customers, transporters, project teams, and relevant parties to arrange timely delivery of materials to construction sites.
Coordinate daily operational matters relating to sales, delivery, rental, and collection activities.
Follow up on project schedules and customer requirements to support timely execution and completion of assigned projects.
Liaise with construction site personnel and customers to ensure delivery arrangements are properly coordinated.
Assist in resolving customer and operational issues relating to deliveries, orders, and project requirements.
Customer & Payment Management
Maintain regular communication with customers and provide timely responses to enquiries and requests.
Follow up with customers regarding quotations, contracts, orders, deliveries, and other sales matters.
Ensure customers understand invoices and coordinate with relevant departments to follow up on outstanding payments.
Maintain good working relationships with customers and assist in addressing customer concerns and service issues.
Sales Administration & Documentation
Prepare and maintain sales-related documentation, including Sales Quotations, Contracts, Purchase Orders, Delivery Orders, invoices, and other operational documents.
Create and submit relevant documents through the Company’s OA system and follow up on the approval status.
Maintain proper records of contracts, quotations, customer information, sales activities, delivery documents, and other relevant records.
Handle incoming calls, emails, correspondence, and general sales enquiries.
Assist with the preparation of sales reports, project updates, and other reports required by management.
Operational & Compliance Support
Assist in coordinating transportation logistics and other day-to-day operational matters related to customers and construction projects.
Ensure that sales and operational activities are carried out in accordance with Company policies and procedures.
Observe and support compliance with the Workplace Safety and Health (WSH) Act and other relevant Singapore regulations when carrying out duties at construction sites.
Understand and follow applicable Singapore Codes of Practice and promote safe working practices when dealing with construction site activities.
Report project status, sales activities, customer issues, delivery matters, and other operational updates to the General Manager / Sales Manager.
Perform any other ad-hoc duties and responsibilities as assigned by management.
Requirements:
Education:
Diploma, Advanced/Higher/Graduate Diploma, or Degree in Business Administration, Sales & Marketing, Construction Management, or a related field.
Candidates with relevant construction industry experience may be considered in lieu of formal qualifications.
Experience:
Minimum 1–3 years of relevant experience in sales, sales administration, business development, or customer service.
Experience in the construction, building materials, Aluminium Formwork, scaffolding, or related industry is preferred.
Experience in handling quotations, contracts, purchase orders, delivery orders, and customer accounts is an advantage.
Experience coordinating with construction sites, transporters, contractors, or project teams is preferred.
Experience in sales and rental activities for construction-related products or services is an advantage.
Language Proficiency:
Proficient in English, both written and spoken.
Able to communicate in Chinese/Mandarin to liaise with Chinese-speaking customers, colleagues, and HQ personnel.
Skills & Competencies:
Good understanding of sales processes, customer relationship management, and sales administration.
Good communication, interpersonal, negotiation, and customer service skills.
Strong organisational and coordination skills, with the ability to manage multiple customers, projects, and deadlines.
Good understanding of construction project requirements and site coordination.
Proficient in Microsoft Office and familiar with sales/ERP/OA systems.
Able to prepare accurate quotations, contracts, sales documents, and reports.
Detail-oriented, responsible, proactive, and able to work independently with minimal supervision.
Able to work effectively in a fast-paced construction environment and coordinate with customers, transporters, site personnel, and internal teams.
Willing to travel to construction sites and attend customer meetings when required.
Able to handle customer enquiries and operational issues professionally and promptly.
