Sales Coordinator cum MIS Executive

1. Sales Coordination & Customer Support

· Coordinate with the sales team to track leads, customer enquiries, quotations, orders, and follow-ups.

· Prepare quotations and proposals based on customer requirements and approved commercial terms.

· Follow up with customers regarding quotations, orders, and pending payments through calls and emails.

· Maintain accurate records of customer interactions, transactions, and sales activities.

· Create and update customer accounts and contacts in the CRM.

· Assist in identifying and researching potential new customers.

· Coordinate with Sales, Marketing, Logistics, Accounts, and other internal teams to ensure smooth execution of customer requirements.

· Support the resolution of issues related to product delivery and customer service.

· Share product catalogues, product information, and promotional communication with customers.

· Maintain proper documentation and tracking of sales activities.

2. MIS & Reporting

· Prepare and maintain daily, weekly, and monthly MIS reports.

· Develop sales dashboards and reports using MS Excel, Pivot Tables, VLOOKUP/XLOOKUP, formulas, filters, sorting, and charts.

· Analyse sales data to identify trends, variances, performance gaps, and improvement areas.

· Ensure accuracy, consistency, and timely submission of all reports.

· Convert raw data into meaningful insights and actionable recommendations for management.

· Coordinate with various departments for data collection, validation, and reporting.

· Prepare management presentations using Excel and PowerPoint.

· Support process improvements through data-driven analysis.

3. CRM, ERP & Documentation

· Ensure timely and accurate updation of sales activities, customer information, enquiries, quotations, orders, and follow-up details in the CRM.

· Maintain and update relevant records in ZOHO ERP, SAP, or other company software as required.

· Track pending actions and coordinate with concerned team members for timely closure.

· Maintain proper filing and documentation of sales-related records.

4. Management Support

· Provide regular updates on sales performance, pending quotations, open orders, customer follow-ups, and payment status.

· Highlight critical issues, delays, and deviations to the reporting manager.

· Support the preparation of review presentations and management reports.

· Perform other sales coordination and MIS-related activities as assigned.

· Advanced knowledge of MS Excel, including Pivot Tables, VLOOKUP/XLOOKUP, IF and other formulas, filters, sorting, charts, and dashboards.

· Working knowledge of PowerPoint, CRM software, ZOHO ERP, and SAP.

· Knowledge of Tally will be an added advantage.

· Strong analytical, reporting, and problem-solving skills.

· Good communication, coordination, and follow-up skills.

· Ability to manage multiple tasks and meet deadlines.

· High attention to detail, accuracy, and data confidentiality.

· Knowledge of sales processes, customer handling, and payment follow-up.

· Knowledge of the building materials/construction industry is preferred.
