Sales Coordinator - The Ricardo Marriott

POSITION SUMMARY:
This position has dual functionality in assisting the sales team with data entry and input of all events taking place within the hotel. Combined with the sales administrative work, this individual will also ensure the success of all banquet events.
PRIMARY JOB DUTIES:
Create room blocks
Inputting rooming lists
Balancing MARSHA, OPERA, and C.I.T.Y groups
Creating Individual reservations and servicing room blocks
Gathering and inputting information for group resumes
Creating and Distributing Event Orders and Group Resumes
Creating PM accounts.
Setting up billing for clients and posting charges to credit card. Sending receipts to clients
Meet and Greet client contact on day of event and assist in answering any questions or needs
Create a well detailed Banquet Event Order that banquet staff can follow and understand. This shall include, but not limited to, floor diagrams, table numbers, buffet labels, table setup, AV needs, special requests, dietary restrictions.
Spot check the banquet rooms and make sure they are set according to the client’s specifications. Assist banquet staff when needed to ensure banquet space is ready on time.
Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
Assess an event’s overall success and submit findings.
Fluency in reading, writing, and spoken English.
Ability to communicate effectively with guests, co-workers, and supervisors.
Ability to think and communicate clearly, organize, and prioritize in high pressure situations.
Knowledgeable basic sanitation.
Knowledge of computer operations and ordering procedures.
Ability to absorb large amounts of information quickly: service procedures, menus, and banquet room floor plan.
Additional tasks and responsibilities may be assigned at the discretion of the manager. Furthermore, tasks and responsibilities may be added or revised based on the volume of business and the need for the work to be completed at the present time.
KNOWLEDGE, SKILLS AND ABILITIES:
At least 3 years’ experience in a sales/event coordination role.
Well-organized with excellent multi-tasking abilities.
Bachelor’s degree in hospitality management or public relations is preferred; not required.
High School diploma required.
Strong communication and interpersonal skills.
PHYSICAL DEMANDS:
Ability to walk/stand/bend throughout a workday.
Ability to lift up to 25 pounds occasionally.
