Job Summary
We are looking for a proactive and detail-oriented Sales Executive – Service & Spare Parts to manage sales activities for analyzer system spare parts and after-sales services. This role focuses on indoor sales and order coordination from inquiry to delivery.
Responsibilities
- Respond promptly to customer inquiries for analyzer system spare parts, replacement components, consumables, and service activities to meet customer needs accurately
- Analyze customer requirements including specifications, part numbers, quantities, and delivery timelines to recommend appropriate products or service solutions
- Build and maintain strong customer relationships to identify opportunities for repeat orders and additional sales growth
- Follow up on quotations to convert potential sales into confirmed orders efficiently
- Prepare accurate commercial quotations within deadlines by obtaining pricing and lead-time details from suppliers and internal teams
- Verify technical and commercial requirements before issuing quotations to ensure compliance and accuracy
- Calculate selling prices, margins, freight, duties, and other costs to support profitable sales
- Track and update quotation pipeline to maintain visibility of sales opportunities
- Manage the sales order process from purchase order receipt through to final delivery and shipment, ensuring order accuracy and timely fulfillment
- Review customer purchase orders against quotations and resolve discrepancies through clear communication
- Coordinate procurement, production, documentation, and delivery activities with suppliers and manufacturers to meet customer expectations
- Monitor order status, lead times, and delivery schedules to proactively address potential delays
- Collaborate internally with sales, engineering, purchasing, logistics, and finance teams to ensure smooth order processing
- Arrange packing, shipping, and delivery logistics with customers and logistics teams to guarantee on-time receipt of goods
- Prepare and coordinate shipping and commercial documents required for delivery and customs clearance
- Track shipment status until goods are received by customers and resolve delivery issues such as delays, shortages, or documentation problems
- Support customers with service needs by identifying spare parts, recommending replacements, and preparing service quotations
- Coordinate service engineers for site visits, troubleshooting, calibration, maintenance, or repairs to ensure customer satisfaction
- Follow up on completed service jobs to identify further spare parts or service sales opportunities
- Maintain comprehensive records of quotations, orders, and service history for accurate sales administration
- Use the company’s Office Automation system to keep accurate records of quotations, orders, deliveries, and outstanding payments
- Prepare regular sales pipeline and order status reports to monitor sales performance
- Track sales targets, margins, order conversion rates, and outstanding quotations to support business objectives
- Communicate effectively with customers and overseas suppliers to facilitate smooth transactions and relationship management
Required competencies and certifications
- Diploma in Engineering, Business, Sales, or a related field
- 1–3 years of experience in inside sales, sales coordination, sales administration, customer service, or spare-parts sales
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint)
Preferred competencies and qualifications
- Experience in industrial equipment, instrumentation, analyzers, oil & gas, petrochemical, chemical, or power industries
- Understanding of commercial sales processes including RFQ, quotation, purchase order, procurement, delivery, invoicing, and shipment
- Strong communication and customer-handling skills
- Ability to manage multiple orders with strong attention to detail
- Negotiation, follow-up, and coordination skills
- Ability to work independently and collaboratively in a team environment
- Proficiency in both English and Chinese (spoken and written) to support communication with diverse customers and business partners
