Sales Operation Executive

Responsibilities

  • Coordinate order treatment with Solution Sales, Account Managers, Project Managers, Sales Operations, and Finance across the ASIA region.
  • Generate, validate, and process orders, invoices, and credit notes, ensuring compliance with internal policies.
  • Perform analytical reviews of purchase orders, billing, and credit management data to identify risks, inefficiencies, and improvement opportunities.
  • Organize and lead kick-off meetings (Engagement Reviews) at purchase order reception with Project Managers, Sales, and Finance to ensure alignment.
  • Book and track POs in Oracle, maintaining dashboards and analytical reports to monitor project progress until invoicing.
  • Support risk order entry and conduct trend analysis on risk orders to provide insights for mitigation strategies.
  • Assist credit management by analyzing overdue accounts, preparing reports, and recommending actions in collaboration with Sales & Finance.
  • Support financial controllers with quarterly PO booking consolidation and provide variance analysis.
  • Extract and cross-check monthly PO booking and billing data, highlighting discrepancies and preparing analytical summaries for management.
  • Track transaction fee order management and provide insights into cost optimization.
  • Maintain document storage systems and ensure compliance with audit requirements.
  • Collaborate across teams/Business Units to streamline order management processes and provide analytical input for process improvements.

Qualifications

Education & Experience

  • Minimum Diploma (Bachelor’s degree preferred).
  • At least 2 years of relevant experience in backend customer service support, with exposure to data analysis and reporting.

Skills

  • Bilingual in Mandarin and English (liaise with Mandarin-speaking colleagues).
  • Strong background in sales administration, logistics, and financial processes (Letter of Credit, Payment Terms, Customs Rules).
  • IT literate: Microsoft Office Suite, Oracle, Microsoft Dynamics (knowledge of ERP systems a plus).
  • Advanced proficiency in Excel, PowerPoint, and Power BI for data analysis and visualization.
  • Strong analytical mindset with ability to interpret complex datasets and provide actionable insights.
