Sales Order Administrator

Primary Duties & Responsibilities

  • Reconcile and audit customer booking packages in accordance with Global Booking Policy, SOX, and Revenue Recognition Policies.
  • Review purchase orders for accuracy and completeness.
  • Accurately enter and book orders (including service contracts) in the global Oracle ERP System.
  • Collaborate cross-functionally with Finance, Planning, Manufacturing, and Shipping to ensure all terms and conditions are met.
  • Maintain effective communication with Sales, Customers, and Internal stakeholders to resolve booking and customer satisfaction issues.
  • Ensure bookings meet Service Level Agreements (SLAs).
  • Provide timely order status updates and tracking information to internal and external stakeholders.
  • Work with Key Account Sales and Service Engineers to support complex customer needs, particularly around scheduling.
  • Interpret and apply Incoterms for both domestic and international bookings.
  • Proactively manage backlog issues including:
    • Order holds
    • Scheduling Date Changes
  • Support month-end and quarter-end activities to help meet revenue targets.
  • Participate in departmental projects aligned with corporate objectives.
  • Coordinate and communicate shipping details effectively with customers.

Education & Experience

  • A bachelor’s degree in related field with at least 6-8 years of experience in a complex Order Management environment.
  • Solid understanding of Revenue Recognition Rules and Incoterms.
  • Strong attention to detail and commitment to operational excellence.
  • Exceptional written and verbal communication skills (fluent in English).
  • Proven ability to manage multiple tasks efficiently in a fast-paced setting.
  • Experience with Oracle ERP and Salesforce.com (preferred).

Working Conditions

  • This role is on hybrid mode (3 days onsite)
  • Working hours should remain flexible to accommodate overlapping time zones with both the US and European time zones, while still adhering to a daytime schedule.

  • Skeleton support coverage is also required during local holidays
