Sales Support Executive
Sales Administration
Prepare and issue quotations, sales orders, delivery orders, invoices, and other sales-related documentation.
Process customer purchase orders accurately and ensure timely order fulfilment.
Coordinate with clients regarding direct and indirect demands to ensure efficient order fulfilment.
Liaise with procurement, warehouse, logistics, service, and finance departments to ensure smooth execution of customer orders.
Monitor order status, delivery schedules, and resolve any order-related issues.
Maintain accurate customer records, pricing information, and sales documentation.
Prepare weekly and monthly sales reports and maintain proper filing of all sales documents.
Assist in tender preparation and submission when required.
Sales & Business Development
Identify and develop new business opportunities to expand the customer base.
Build and maintain strong relationships with existing customers.
Promote the company's products, spare parts, equipment, and services to achieve sales targets.
Prepare quotations and follow up on all quotations to maximise conversion into sales.
Conduct customer visits and presentations where necessary.
Negotiate pricing and commercial terms within approved company guidelines.
Monitor market trends, competitor activities, and customer requirements.
Customer Service
Handle customers' enquiries, feedback, and complaints professionally and promptly.
Follow up on customer enquiries and provide accurate quotations accordingly.
Coordinate with internal departments to ensure customer requirements are met.
Provide excellent after-sales support and maintain a high level of customer satisfaction.
Coordination & Communication
Coordinate with internal departments including Procurement, Warehouse, Logistics, Service, and Finance to ensure smooth operations.
Liaise with suppliers where necessary regarding product availability, pricing, and delivery schedules.
Ensure timely communication with customers regarding order status, deliveries, and any changes.
General Responsibilities
Ensure compliance with company policies, procedures, and quality standards.
Maintain confidentiality of customer and company information.
Perform other duties assigned or as instructed by the manager.
Requirements
Diploma or Degree in Business Administration, Sales, Marketing, Engineering, or a related field.
Minimum 2–5 years of relevant experience in sales administration, customer service, or sales.
Experience in the heavy equipment, machinery, engineering, construction, or industrial sectors will be an advantage.
Strong communication, interpersonal, and negotiation skills.
Good organisational and time management skills.
Proficient in Microsoft Office applications (Excel, Word, Outlook).
Experience with ERP systems is an advantage.
Able to work independently and collaboratively in a fast-paced environment.
Possess a valid driving licence (preferred for customer visits).
