Sales Support Officer
Position Overview
The Sales Support Officer plays a key role in ensuring the smooth coordination as it relates to sales and administrative functions at Farm Supplies Ltd. This role combines hands-on support with administrative and reporting duties to keep operations running efficiently.
Key Duties and Responsibilities
Inventory Support
- Receive incoming containers and oversee the destuffing process, ensuring goods are unloaded safely, accurately, and in accordance with company procedures.
- Verify shipment contents against packing lists, invoices, and purchase orders, and report any discrepancies, damages, or shortages to the relevant supervisor.
- Assist in the proper storage, labelling, and organization of stock following destuffing.
- Support periodic stock counts, cycle counts, and inventory reconciliation activities.
- Operate a forklift where required to move pallets and goods around the warehouse (forklift experience considered an asset).
Sales Administration and Reporting
- Assist the sales team with the preparation of daily, weekly, and monthly sales reports.
- Maintain accurate records of sales transactions, invoices, and supporting documentation.
- Assist in preparing quotations, proformas, and order confirmations for customers as needed.
- Help track outstanding orders and follow up on deliveries to ensure customer satisfaction.
Customer and Team Support
- Respond to customer inquiries via phone, email, and in-person, escalating complex issues to the appropriate sales representative or manager.
- Provide general administrative support to the sales department, including filing, data entry, and document preparation.
General Responsibilities
- Adhere to all health, safety, and operational policies, particularly when handling goods and operating equipment.
- Maintain a clean and organized work area in both office and warehouse environments.
- Perform any other related duties as assigned by the Sales Manager or Managing Director.
Qualifications and Skills
- Previous experience in a sales support, warehouse, or administrative role preferred.
- Basic proficiency in Microsoft Office (especially Excel and Word).
- Strong attention to detail and good organizational skills.
- Ability to work both independently and as part of a team.
- Good communication and customer service skills.
- Forklift operating experience and/or certification is considered an asset. Ability to perform physical tasks associated with receiving and destuffing containers.
