What You’ll Do
As a key member of the operations support team, you will help ensure smooth coordination between customers, service providers, internal teams, and billing operations.
Service Coordination & Sales Support
- Prepare and issue onsite service quotations for customers and stores
- Create and manage service work orders upon approval
- Coordinate technician scheduling and provide ETA updates to customers
- Invoice completed onsite service requests accurately and on time
- Process supplier invoices and allocate costs to relevant jobs
- Create installation jobs and generate deposit invoices
- Allocate stock and technician hours against projects
- Prepare and issue final balance invoices
Subscription & Contract Administration
- Prepare and issue subscription renewal invoices
- Follow up on overdue invoices and payment reminders
- Record customer payments accurately in tracking systems
- Maintain and update service contracts within Salesforce
- Create new service contracts for customer subscriptions
- Coordinate subscription suspensions and reactivations with Support teams
Accounts & Administrative Support
- Track and link all job-related expenses
- Update customer billing information and account records
- Assist with monthly fixed asset reporting and documentation
- Support general operational and administrative activities
Customer Support & Coordination
- Respond professionally to inbound calls and email inquiries
- Create and manage support cases within Salesforce
- Provide timely updates to customers regarding support requests
- Coordinate supply orders with workshop and operations teams
- Monitor and manage shared inboxes to ensure prompt responses
What We’re Looking For
- 3+ years of experience in sales support, service coordination, customer operations, billing, or administrative support
- Strong English communication skills — both written and verbal
- Ability to work closely with a Melbourne-based team
- Exceptional attention to detail and organizational skills
- Experience working with CRM or ticketing systems such as Salesforce
- Strong multitasking and time management abilities
- Comfortable working in a fast-paced, customer-focused environment
- Proficiency in Microsoft Office and cloud-based systems
- Experience supporting international customers or remote teams is highly preferred
- Background in SaaS, telecommunications, retail support, or field service coordination is a plus
