Key Areas of Responsibility:

Operational Oversight:

  • Maintain professional business correspondence with customers and partners.
  • Prepare contract amendments, claims, official letters, and supporting documentation.
  • Monitor contract validity periods and coordinate renewals and updates.
  • Maintain and update sales databases, ensuring accuracy of contract information and documentation.
  • Support Sales and Marketing teams with certificates, mailings, promotional materials, and customer-related activities.
  • Coordinate internal meetings, customer visits, and business events.
  • Ensure accuracy and completeness of sales records and related documentation.

Contract Administration

  • Register contracts in the Concorde system and maintain contract records.
  • Archive original contract documentation in accordance with company procedures.
  • Coordinate invoice requests with Deloitte and monitor processing status.
  • Organize and track the signing of contracts, acceptance certificates, delivery notes, and other legal documents.
  • Ensure timely collection and filing of all original documents.
  • Close completed contracts in Concorde and update statuses accordingly.
  • Manages Contract backlog and cashflow file per contract.
  • Participates in sales coordination from CF and admin sides

Documentation and Transaction Support

  • Prepare acceptance certificates and delivery notes based on logistics confirmations.
  • Coordinate the delivery of documents to customers via email, courier services, or other approved channels.
  • Submit signed documentation to Deloitte for issuance of electronic tax invoices.
  • Maintain electronic contract folders and ensure proper archiving of all related documentation.
  • Conduct customer and supplier screening through Kompra and Dow Jones prior to contract execution.

Office Administration

  • Coordinate courier services and manage incoming and outgoing correspondence.
  • Monitor and administer the company's shared mailbox.
  • Handle incoming calls and ensure proper routing of communications.
  • Coordinate procurement of office supplies, water, and consumables to support uninterrupted office operations.
  • Administer corporate vehicle-related matters, including fuel controls and documentation.
  • Coordinate maintenance and repair activities for office facilities and equipment.
  • Follow up with suppliers regarding missing documentation and outstanding requests.

Cross-Functional Support

  • Liaise with Sales, Service, Finance, Logistics, HR, Marketing, and external service providers.
  • Support auditors and external stakeholders with required documentation.
  • Assist management with administrative and operational tasks as required.

Business Justification

The Sales Support Specialist position is essential for ensuring the efficient execution of sales operations and contract administration activities. The role directly supports revenue-generating processes by maintaining accurate customer records, managing contractual documentation, coordinating invoicing activities, and ensuring timely communication with customers and business partners.

Failure to fill this position would result in significant operational risks, including delays in contract processing, invoicing, document management, customer communications, and compliance-related activities. The absence of this role would increase administrative workload for sales personnel, reducing their capacity to focus on business development and customer engagement.

The position also plays a critical role in maintaining contractual compliance, supporting audit requirements, managing documentation flow between customers and Deloitte, and ensuring complete and accurate record keeping. In addition, the role supports essential office administration functions required for the smooth operation of the business.
