Summary
Handles HR administration, expat onboarding/offboarding, and compliance for an Indonesian school network, including payroll, leave, and insurance tasks.
1. HR Administration
- Maintain and update employee records (hardcopy and softcopy), including personal documents, bank details, educational certificates, and other HR data.
- Ensure all employee files are accurate, confidential, and well-organized.
- Support the implementation and continuous improvement of HR policies and procedures.
- Coordinate with vendors and internal departments to ensure smooth HR operations.
2. HR Payment Administration
- Process HR-related payments (PR, PO, PORE) accurately and on time.
- Handle cash advances, reimbursements, and settlements in accordance with Finance procedures.
- Prepare quarterly HR reports as required.
3. Attendance & Leave Administration
- Manage and verify employee attendance records.
- Process leave requests, including annual leave, sick leave, statutory leave, and other permitted absences.
4. Expatriate Management
- Coordinate end-to-end immigration and work permit processes (KITAS, RPTKA, visas, and related documents).
- Manage onboarding and offboarding arrangements for expatriate employees.
- Coordinate travel, accommodation, housing, transportation, and relocation logistics.
- Assist expatriates with bank account opening, BPJS registration, tax ID application, and settling into Indonesia.
- Support expatriates during repatriation, including EPO processing and exit formalities.
5. Medical & Insurance Administration
- Process and monitor employee medical claims.
- Liaise with insurance providers to resolve outstanding claims.
6. BPJS Administration
- Register and update employee BPJS Health and Employment records.
- Coordinate BPJS card distribution and related administration.
7. Employee Engagement
- Assist in organizing employee engagement activities, celebrations, and company events.
- Support school events and other staff well-being initiatives.
8. Compliance & General Support
- Ensure compliance with labor regulations and government reporting requirements.
- Support HR projects and initiatives from Headquarters.
- Perform other HR and administrative duties assigned by management.
- Bachelor's Degree in Business Studies/Administration /Management, Linguistics/Languages, Secretarial or equivalent.
- At least 2 Year(s) of working experience in the educational institutions or comparable organizations.
- Fluency in English and Bahasa Indonesia.
- Demonstrate ability to listen, analyze and inform appropriately while maintaining the required sensibilities in handling confidential information.
- Strong team player and standing alone.
