Seasonal Office Administrator

This is a temporary in-office position for the busy season. Position will last until October 2026.
Candidates must be able to work onsite via our Bala Cynwyd, PA office Monday-Friday.

Position responsibilities:

  • Assemble printed returns
  • Prepare & send out organizers
  • Scan, upload, maintain storage & return of client docs
  • Prepare mail, FedEx & courier packages
  • IRS certified mail/Maintain log
  • Greet clients & visitors/monitor front
  • Answer phones
  • Prepare mail, FedEx & courier packages
  • Sort/scan/distribute incoming mail
  • Maintain electronic/paper filing systems for client records & office docs
  • Assist with scanning of client & firm docs
  • Engagement letters/paper extensions/paper returns
  • Order busy season meals/set up/clean up
  • Input client data, organize/archive client files, assist in prepping tax-related forms/docs
  • Monitor email inbox for copy, binding and mailing requests
  • Retrieve mail/packages & deliver to receptionist
  • Check mail stops & process outgoing mail
  • Process FedEx packages
  • Take certified mail to post office
  • Take mail & FedEx to mailroom

Qualifications:

  • High school diploma
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in basic computer applications such as MS Office (Word, Excel, Outlook).
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team in a fast-paced environment.
