This position is responsible for:

This position is responsible for providing comprehensive administrative, clerical, and volunteer coordination support to ensure the efficient operation of departmental programs and services. The role prepares and processes correspondence, reports, meeting materials, financial and administrative documents, maintains office records and databases, manages communications, and supports daily office operations. In addition, the position coordinates volunteer administration activities, including processing volunteer applications and documentation, maintaining volunteer records, tracking and reporting volunteer service hours, assisting with volunteer onboarding and scheduling, and serving as a primary point of contact for volunteer inquiries. The incumbent also supports special events, seasonal programs, and Christmas operations, while providing organizational, logistical, and administrative assistance to help advance The Salvation Army's mission and community service efforts.

Key Responsibilities:

  • Provide administrative and clerical support to ensure the efficient operation of the department.
  • Prepare, type, proofread, and distribute correspondence, reports, agendas, meeting minutes, newsletters, bulletins, forms, and other organizational documents.
  • Maintain accurate office records, databases, calendars, logs, and filing systems.
  • Answer telephones, greet visitors, and provide information regarding departmental programs and services.
  • Process, sort, distribute, and prepare incoming and outgoing mail.
  • Compile materials and coordinate logistics for meetings, conferences, seminars, committees, and special events.
  • Process invoices, requisitions, check requests, and related financial documentation.
  • Coordinate schedules and communicate with vendors to ensure timely delivery of services.
  • Order and maintain office supplies, equipment, and materials necessary for departmental operations.
  • Prepare service requests for office equipment and technology repairs.
  • Receive, review, and process volunteer applications, packets, and required documentation.
  • Maintain confidential volunteer records and ensure compliance with organizational policies and procedures.
  • Track, record, and report volunteer service hours and participation.
  • Serve as a primary contact for volunteer inquiries and provide guidance regarding volunteer opportunities and expectations.
  • Assist with volunteer onboarding, orientation, scheduling, and communications.
  • Generate volunteer activity reports and maintain volunteer databases.
  • Support seasonal and holiday programs, including Christmas assistance programs, Angel Tree, kettles, toy distribution, and other special events.
  • Assist with the transportation and secure handling of deposits, office supplies, program materials, and other organizational resources.
  • Provide support throughout Salvation Army facilities and program areas as needed.
  • Perform other administrative and operational duties as assigned.

Physical Requirements and Working Conditions:

  • Ability to meet attendance requirements and maintain a consistent work schedule.
  • Ability to sit for extended periods while performing administrative and clerical duties, with occasional standing and walking.
  • Ability to operate standard office equipment, including computers, telephones, copiers, printers, and other office technology.
  • Ability to perform repetitive tasks such as typing, filing, data entry, and document processing.
  • Moderate physical activity involving walking, standing, lifting, carrying, loading, and unloading office supplies, records, deposits, and program materials.
  • Ability to lift and carry up to 25 pounds on an occasional basis.
  • Ability to transport boxes of paper, office supplies, volunteer materials, and program resources throughout Salvation Army facilities.
  • Ability to maintain concentration, accuracy, and attention to detail while managing interruptions, phone calls, and multiple priorities.
  • Work is primarily performed in a climate-controlled office environment with minimal exposure to noise, dust, dirt, or extreme weather conditions.
  • Regular interaction with employees, volunteers, clients, donors, vendors, and community members.
  • Work may be performed throughout various Salvation Army facilities, program areas, warehouses, gymnasiums, event locations, and seasonal program sites.
  • Frequent use of computers, office equipment, and database systems to support administrative and volunteer management functions.
  • Occasional local travel and driving may be required to support departmental operations, transport materials, or deliver deposits.
  • Additional evening, weekend, and holiday hours may be required during seasonal campaigns, special events, Christmas programs, Angel Tree operations, kettle campaigns, and other organizational activities.
  • Work requires maintaining confidentiality, professionalism, and effective customer service while supporting The Salvation Army’s mission and programs.
