Secretary
Job Responsibilities
* Provide comprehensive secretarial and administrative support to management and the team.
* Manage the management’s calendar and schedule, including arranging meetings, booking meeting rooms, coordinating appointments, and sending invitations.
* Assist in preparing reports, presentations, meeting materials, correspondence, and other business documents.
* Write, edit, and publish content for the company’s website, social media/public accounts, and other communication channels, including basic editing of images and videos.
* Receive and assist visiting clients, business partners, and guests, and provide professional administrative and logistical support.
* Coordinate internal and external communications and follow up on meetings, projects, events, and other assigned matters.
* Handle confidential and sensitive information with a high level of discretion and professionalism.
* Assist management in handling ad-hoc matters and ensuring the smooth day-to-day operation of the office.
Requirements
* Diploma or higher qualification in Business Administration, Secretarial Studies, Communications, or a related discipline.
* Relevant experience in a secretarial, executive assistant, administrative, or similar role.
* Strong proficiency in both English and Chinese (written and spoken), as the role requires regular communication and preparation of documents in both languages, including member correspondence, meeting notices and minutes, and materials for visiting delegations from the People’s Republic of China.
* Good understanding of China’s business environment, culture, and business practices; experience working with Chinese companies, institutions, or business partners would be an advantage.
* Excellent organizational, coordination, and time-management skills.
* Strong interpersonal and communication skills, with the confidence to interact with senior executives, clients, and external stakeholders.
* Proficient in Microsoft Office, including Word, Excel, and PowerPoint, as well as other common office and communication software.
* Good writing and editing skills in both English and Chinese.
* Detail-oriented, responsible, resourceful, and able to work independently.
* Able to manage multiple priorities and adapt to different tasks and working environments.
