Summary
Provides executive administrative support to senior stakeholders in a fast-paced family office, handling calendars, meetings, travel, and communications.
Our client is seeking an Executive Secretary professional to provide administrative and coordination support to senior stakeholders in a fast-paced environment.
Key Responsibilities:
- Provide administrative support, including calendar management, meeting coordination, and handling correspondence.
- Prepare reports, summaries, and documents for internal and regional communications.
- Support internal processes such as documentation, approvals, and expense tracking.
- Coordinate travel and logistics to ensure smooth business operations.
- Assist with stakeholder engagements, meetings, and follow-ups.
- Support office operations, including vendor coordination and general admin tasks.
- Help organise internal events and business activities.
- Collaborate with teams on ongoing projects and ad-hoc tasks.
Requirements:
- Degree or equivalent qualification.
- Minimum 3 years of experience in administrative or executive support roles.
- Proficiency in English and Mandarin is required to liaise with Mandarin-speaking stakeholders and headquarters.
- Candidates with experience supporting senior executives in multinational corporations, family offices, investment firms, or regional headquarters are welcome to apply.
- Strong organisational skills with attention to detail.
- Able to multitask and work independently in a dynamic environment.
- Good communication and stakeholder management skills.
- Proficient in Microsoft Office; familiarity with corporate systems is a plus.
