Job Title: Secretary
Position Summary:
The Assistant provides comprehensive administrative and office management support to the Director, ensuring the efficient day-to-day operation of the office. Working as part of the Director’s office team, the Assistant collaborates closely with the Director’s direct reports to coordinate business activities and ensure timely follow-up on key deliverables.
The role requires exceptional organizational, communication, and planning skills, together with the ability to manage multiple priorities, maintain strict confidentiality, and exercise sound judgement. The overall purpose of the role is to ensure the smooth operation of the Director’s office to enable him to focus on core business activities.
Job Responsibilities:
- Provide comprehensive administrative support to the Director.
- Manage the Director’s complex calendar, appointments, and daily schedule, ensuring effective prioritization of commitments.
- Coordinate domestic and international business travel, including flights, accommodation, transportation, visa applications, and detailed travel itineraries.
- Prepare, review and process business travel expenses and related administrative documentation
- Organize meetings including venue bookings, meeting logistics and catering arrangements.
- Record, monitor and follow up on meeting action items to ensure timely completion.
- Collate and consolidate weekly and monthly highlights and reports.
- Compose, edit, proofread and format correspondence and reports to a high professional standard.
- Maintain accurate records, filing systems, and confidential documentation in accordance with Company policies.
