Summary:
The Department of Neurosurgery is seeking a highly organized and proactive Secretary to the Chief. This position will directly support the Chief/Chair and Unified Administrator, and collaborate with the department team on special projects and deliverables for the leadership team. This position must be able to triage and re-prioritize projects and unexpected events independently and promptly to ensure the administrative needs are met efficiently, professionally and with the highest level of quality. Crucial elements required of this position are confidentiality, tact and discretion to handle sensitive matters. Position may be responsible for attending executive meetings including preparation of materials, taking minutes, and tracking the leadership’s expectations and deliverables.
Responsibilities:
Coordinates functions including organizing clinical and clerical needs and determining priority of tasks to ensure efficient practice operations. Handles all surgical scheduling for Chief/Chair, navigates Epic proficiently and coordinates with clinical staff to ensure all pre and post surgical needs are met. This includes coordinating preauthorizations, imaging, referrals, medical records, workers compensation forms or other needs related to surgery. Responds to patient and provider needs in a timely and courteous manner. Demonstrates outstanding customer service. Supports chief/Chair with administrative needs including managing calendar, scheduling meetings, maintaining databases for appropriate patient follow up and responding promptly to routine inquires in support of efficient operations. Supports Operations Manager in the development and implementation of workflows in order to organize and coordinate specialized clinical functions for the division Performs special assignments as required by departmental leadership. Demonstrates exceptional time management skills, able to manage a wide range of clinical and administrative tasks for the spine team. Provides necessary coverage to the other Neurosurgery subspecialites or sites as needed. Monitors WQs for the division and supports scheduling or other activities to improve access for patients. Supports other administrative team members with unresolved patients needs.
Requirements
Associates'Degree required Bachelor' degree or higher preferred
1-3 years secretarial experience in a related field required
Knowledge of Microsoft Office and scheduling apps
