Senior Admin Executive
Job Description:
- Oversee the daily administrative operations of the office and factory.
- Record business transactions and related activities accurately andpromptly.
- Verify the accuracy and completeness of transaction records.
- Prepare and process invoices for business transactions.
- Maintain proper filing and documentation of financial and businessrecords.
- Ensure all delivery, production, and inventory-related documents areaccurately recorded and updated in the ERP system.
- Maintain accurate data entry and ensure the integrity of inventoryrecords.
- Support the daily operation and administration of the company's in-houseinventory system.
- Generate, verify, and submit operational reports, including Balance on Site (BOS), Operation Lists, Loading & Unloading Reports, Monthly TransportReports, and other reports as required.
- Ensure all reports are accurate, complete, and submitted within therequired timelines.
- Manage attendance records and compile overtime for factory employees using the HRM system.
- Handle general administrative matters and provide administrative supportto factory staff.
- Maintain proper filing and safekeeping of administrative records andcompany documents.
- Manage office and factory facilities, including equipment, pantry,meeting rooms, and common areas.
- Ensure a clean, safe, and well-maintained working environment.
- Coordinate company meetings, events, and other internal activities.
- Liaise with internal departments and external vendors to ensure smoothadministrative and operational support.
- Ensure company records and confidential information are properlymaintained and handled in accordance with company policies.
- Perform other administrative duties, operational reports, and ad hocassignments as directed by the Senior Factory Manager.
Job Requirements:
- Diploma or equivalent qualification in Business Administration or a related discipline.
- Minimum 2–3 years ofadministrative experience, preferably in a manufacturing, engineering, orconstruction environment.
- Proficient in MicrosoftOffice applications (Word, Excel, Outlook, PowerPoint).
- Good organizational skillswith strong attention to detail.
- Able to workindependently, prioritize tasks, and meet deadlines.
- Good communication andinterpersonal skills.
- Able to workindependently, prioritize tasks, and manage multiple responsibilitieseffectively.
- Meticulous and able towork independently.
