Senior Admin Support Analyst (Warehouse Operations)

Work Arrangement: 10:00 PM to 7:00 AM (Manila Time), with 4 days per week onsite (RTO).

Job Summary:

The Senior Admin Support Analyst is responsible for maintaining the integrity, accuracy, and consistency of enterprise asset management (EAM) data while supporting operational, maintenance, and transportation teams. This role serves as the primary administrator for master data management processes, ensuring that asset, parts, supplier, and warranty records are accurately maintained and aligned with business requirements.

The position plays a critical role in data governance, system administration, reporting, and technical support by managing core system data, improving data quality, supporting telematics data integration, and developing operational reports. The analyst works closely with cross-functional stakeholders to ensure reliable information is available to support maintenance planning, asset lifecycle management, procurement activities, and operational decision-making.

Key Responsibilities:

1. Master Data Management

• · Maintain and update master data records within the Enterprise Asset Management (EAM)
• · Create and modify part records, ensuring accuracy and adherence to established naming and numbering conventions.
• · Process new supplier additions and maintain supplier information updates.
• · Create, update, and deactivate asset records as needed.
• · Manage warranty records for assets and parts, including warranty creation, modifications, and expiration updates.
• · Ensure proper documentation and audit trails for all master data transactions.

2. Data Quality & Governance

• Monitor and maintain data accuracy, completeness, and consistency across the EAM
• Perform regular data cleansing and validation activities.
• Conduct part number reconciliation to eliminate duplicates and discrepancies.
• Add and update warranty information associated with parts and assets.
• Support data conversion and migration, including the transition to new cost codes
• Develop and enforce data governance standards, procedures, and best practices.
• Identify data integrity issues and implement corrective actions.

3. System & Technical Operations

• Support system administration activities related to the EAM platform.
• Upload and maintain telematics data to ensure accurate reporting.
• Create, update, and maintain operational and management reports.
• Generate ad hoc reports and dashboards to support business requirements.

4. User Support & Administration

• Provide day-to-day support to internal users regarding system access, data retrieval, and reporting requirements.
• Assist maintenance and transportation teams with administrative system support.
• Respond to inquiries and troubleshoot data or system-related issues.
• Support operational teams by ensuring timely and accurate availability of data and reports.
• Act as a liaison between business users and technical support teams.

Qualifications:

• Bachelor’s degree in Business Administration, Information Systems, Supply Chain Management, Data Management, or a related discipline
• 3-4 years of experience master data management, asset management, maintenance systems administration, or a related role.
• Experience working with Enterprise Asset Management (EAM), CMMS, ERP, or similar enterprise systems.
• Strong understanding of data governance, data quality control, and master data management principles.
• Proficiency in Microsoft Excel, including data analysis, validation, and reporting functions.
• Experience with report creation and data extraction tools.
• Strong analytical and problem-solving skills.
• Excellent attention to detail and accuracy.
• Strong verbal and written communication skills.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
