About the role
Mater Health is pleased to offer an exciting opportunity for a Senior Administration Officer to provide high-quality administrative, workforce coordination and operational support to the Hospital Operations Manager on a full time 12 month maximum term contract based in South Brisbane.
This position requires availability from 3:00-10:30 PM, Monday to Friday - late shifts only.
Salary range: $39.79 - $44.25 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
You will play a pivotal role in ensuring safe and effective nursing workforce management by coordinating staffing allocations, supporting operational leaders, and maintaining accurate administrative and financial records.
- Liaise with Nursing Managers and Team Leaders to identify and address staffing deficits and coordinate relief staff allocation.
- Manage and approve nursing shifts using systems such as ShiftMatch, Trendcare, and Kronos.
- Record and communicate sick leave and manage cancellations and agency confirmations promptly.
- Provide handover and timely workforce information to after-hours and operational leaders.
- Deliver general administrative support including managing communications, maintaining records, and drafting correspondence.
- Assist with onboarding new employees and maintain stationery and office supplies.
- Liaise professionally with Nursing Agencies for staffing arrangements and invoicing support.
- Ensure compliance with organisational policies, maintain confidentiality, and support audit requirements.
- Collaborate with clinical and operational leaders to facilitate clear communication and effective workforce management.
- Contribute to continuous improvement initiatives in staffing and workforce administration processes.
About you
You are an organised and detail-oriented professional with relevant qualifications and the ability to effectively support nursing workforce management through strong administrative and communication skills.
- Hold relevant qualifications, certificates, licences, or registrations in administration, healthcare, or related fields.
- Experience or qualifications in medical administration or nursing support are desirable.
- Proficient in ShiftMatch, Trendcare, Kronos Payroll System, Excel, and Microsoft Office programs.
- Knowledgeable about hospital data and patient administration systems, with a strong capacity to learn new technologies quickly.
- Demonstrated ability to manage multiple priorities and conflicting demands from various stakeholders.
- High attention to detail with accurate data entry and record-keeping skills.
- Excellent interpersonal and customer service skills, with the ability to work both independently and collaboratively in a team environment.
