Senior Analyst, Business Data
Job purpose
The Senior Analyst, Business Data (Supply Operations) focuses on optimizing the fuel supply chain by analyzing operational data to manage stock levels and minimize stock loss. This role ensures seamless coordination across terminals, supply and logistics, and marine teams, verifies critical data, and serves as an analytical checkpoint in the daily inventory reconciliation process for all Supply Operations plants. The emphasis is on leveraging data-driven insights to enhance operational efficiency, monitor and reconcile inventory, validate data before posting for Supply Operations plants, and ensure compliance with health, safety, security, and environment standards.
Key accountabilities
Below mentioned accountabilities are key for the role; however, based on operations and analytic needs and any future changes in the process, additional accountabilities may be added or amended in the job description as per management directives.
Monitor and analyse gains/losses:
- Track operational and in-transit fuel discrepancies across the supply chain, including terminal storage and inbound stock.
- Identify trends or anomalies impacting operational efficiency and HSSE compliance and report findings to relevant stakeholders for corrective action.
- Analyse data patterns from the automated transfer of dip data from TGS to SAP across all terminals.
- Review gain/loss percentage variances through the Inventory Recon Dashboard for all sites.
- Provide analytical support during tolerance limit evaluations and exception handling.
- Analyse exception patterns caused by delayed refinery reports and their impact on reconciliation accuracy.
- Serve as analytical verification gatekeeper by reviewing gain/loss data and providing feedback to operators/supervisors before they approve final posting.
- Run various reports from SAP, PLC, BI, and other dashboards on a daily basis.
- Ensure key personnel at the terminals in the supply chain are well trained and engaged to ensure all processes are followed in full compliance.
End-to-end hydrocarbon cycle management:
- Oversee and analyse the hydrocarbon cycle, from procurement to terminal operations, ensuring efficiency and compliance at every stage.
- Identify bottlenecks or inefficiencies in the hydrocarbon flow and collaborate with stakeholders to implement improvements.
- Support the integration between operational activities and inventory reconciliation processes.
Inbound and outbound operations oversight:
- Analyze inbound and outbound fuel movements, coordinating with terminals to identify incorrect or missed out transactions for in-time posting.
- Support process optimization for smoother flows across depots.
- Analyse impacts on inventory discrepancies and reconciliation processes.
Inventory and reconciliation insights:
- Collaborate with terminal teams to monitor inventory levels, reconciliation processes, and stock movements at terminals to ensure losses and gains are minimised for all grades and provide recommendations for improvement.
- Analyze month-end data patterns, providing trend analysis, reporting, and insights on discrepancies to support accurate records.
- Analyze data from the "Inventory Recon" custom application and identify patterns and insights.
- Track the approval workflow for outside-tolerance variances and analyze approval timelines to identify bottlenecks.
- Develop analytical reports to help inform reconciliation decisions.
- Evaluate the impact of delayed refinery reporting on reconciliation processes and develop analytical models to account for these timing discrepancies.
- Analyze data patterns within the "Inventory Recon" application.
- Identify potential improvement areas based on data analysis.
- Support troubleshooting together with terminals and finance (inventory) teams by providing detailed data insights.
- Share periodic management information reports with SOD management and departments as needed from time to time.
- Support finance in monthly inventory closing activities on behalf of the Supply Operations division.
Data-driven decision making:
- Use SAP reporting and master data management tools to generate insights for informed decision making.
- Regularly update stakeholders with actionable reports on relevant performance metrics.
- Develop comprehensive dashboards for variance trends and reconciliation performance.
- Conduct comparative analysis of reconciliation performance across terminals.
- Prepare analytical reports to support process improvement initiatives.
- Analyze patterns in variance posting activities.
