Job Summary
Healthify Medical Family Clinic is seeking an experienced, proactive and patient-focused team member to support both our established GP operations and growing medical aesthetics services.
Depending on experience, leadership capability and overall suitability, the successful candidate may be appointed as Senior Clinic Assistant, Deputy Clinic Manager or Clinic Manager.
Responsibilities
- Manage day-to-day clinic operations across both GP and medical aesthetics services.
- Handle patient registration, appointments, queue management, telephone and email enquiries.
- Provide a warm, professional and efficient patient experience.
- Assist doctors during consultations, procedures and aesthetic treatments where required.
- Dispense medications accurately according to doctors' prescriptions and clinic protocols.
- Support vaccinations, health screening, laboratory specimen handling and other clinical services.
- Handle payments, receipts, insurance claims, corporate and TPA patients.
- Maintain accurate patient records, documentation and confidentiality.
- Prepare consultation and treatment rooms and maintain appropriate hygiene and infection-control standards.
- Monitor medications, medical consumables and aesthetic supplies, including stock-taking and ordering.
- Coordinate with laboratories, suppliers and external service providers.
- Attend to aesthetic enquiries and provide appropriate non-clinical information on services, appointments and fees.
- Follow up aesthetic enquiries, consultations and appointments in a timely and professional manner.
- Build good patient relationships and help interested patients progress from enquiry to doctor consultation and treatment.
- Support patient retention and appropriate follow-up visits according to the doctor's recommendations.
- Work closely with doctors and management to improve clinic workflow, patient experience and service delivery.
- Take ownership of assigned responsibilities and ensure outstanding matters are followed through.
For candidates appointed at Deputy Clinic Manager or Clinic Manager level, greater responsibility will be expected in:
- Coordinating staff and clinic workflow.
- Guiding junior team members.
- Monitoring operational performance and service standards.
- Taking ownership of aesthetic patient engagement, follow-up and conversion.
- Supporting patient retention and business development.
- Working towards agreed aesthetic conversion and business objectives in a professional, ethical and patient-centred manner.
Our medical aesthetics practice is doctor-led and consultative. We value appropriate patient engagement and follow-up rather than aggressive selling.
Preferred Competencies & Qualifications
- At least 2 years of relevant clinic or healthcare experience preferred.
- Experience in a GP / family medicine clinic will be highly advantageous.
- Experience in a medical aesthetic clinic will also be an advantage.
- Experience across both GP and aesthetics would be ideal.
- Familiarity with patient registration, medication dispensing, appointments, laboratory handling and clinic administration.
- Strong communication and interpersonal skills.
- Confident communicating with patients face-to-face, by telephone and through WhatsApp.
- Organised, meticulous and able to multitask.
- Good attention to detail, particularly in medication and laboratory work.
- Responsible, proactive and able to work independently after appropriate training.
- Able to take ownership and follow matters through to completion.
- Good teamwork and professional attitude.
- Comfortable working closely with doctors and management.
- Computer-literate and comfortable using clinic-management systems and Microsoft Office.
Experience or knowledge in the following will be an added advantage, particularly for more senior candidates:
- Medical aesthetic patient consultation or enquiry follow-up
- Aesthetic patient conversion and retention
- Clinic supervision or management
- Healthcare business development
- Digital or social media marketing
- Managing online enquiries or digital leads
- Basic content planning or social media coordination
- Working with marketing agencies, designers, videographers or website vendors
Relevant healthcare, clinic or aesthetic qualifications would be advantageous but are not compulsory.
Minimum Qualification: GCE 'N' Level or above
Other Information
Location: Balestier Road, Singapore
Working Hours
Monday to Friday: 8:00am – 12:30pm; 2:00pm – 6:00pm
Saturday: 8:00am – 12:30pm
Sundays & Public Holidays: Closed
Salary: Depending on experience, capability and appointment level.
Performance-based incentives may be available for candidates taking on greater responsibility in clinic management and aesthetic business development.
