Senior Events Coordinator
About Green Compass
Green Compass is a premium children's experiential events company based in Bangalore, with a team of about 20. We design and deliver themed, immersive birthday experiences and private events for families who want more than a standard party — thoughtful concepts, hands-on activities (crafts, STEM, pretend play, sensory play, and more), and a warm, professional, child-first approach from the first client call through final wrap-up.
Role Summary
Title: Senior Events Coordinator Reports to: Events Head & Manager Location: Bangalore (on-ground + office-based)
We're looking for a senior, hands-on events professional who can plan and lead themed children's events from brief to breakdown. You'll independently run small and medium events, support the Events Manager on larger ones, be the main point of contact for clients once briefed, and lead a team of junior coordinators, associates, transport staff, and freelancers on the ground. The role blends event planning, client relationship management, on-site leadership, and financial coordination (expense tracking, invoicing support, payment follow-up).

Event Planning & Coordination
● Turn event briefs into detailed activity plans, material lists, and team allocations
● Coordinate pre-event logistics: vendors, transport, staff scheduling
● Help design event flow, activity zones, and timing
Client Communication & Experience
● Serve as the primary client contact for mid-level events once briefed by the Events Manager
● Run pre-event calls to clarify requirements and customizations
● Keep clients updated and collect feedback, maintaining Green Compass's friendly, professional, child-centric tone
On-Ground Execution & Team Leadership
● Lead small and medium events independently; support the Events Manager on larger ones
● Supervise zone setups, safety checks, and overall flow
● Manage coordinators, transport staff, associates, and freelancers during events
● Troubleshoot on the spot: material shortages, child engagement issues, parent queries, weather or venue constraints
● Mentor junior coordinators and associates; run short training sessions on activities, kits, and safety protocols
Materials & Inventory
● Support the Stores Manager in packing material lists for each event
● Oversee loading/unloading and inventory accuracy; report shortages or breakages
● Suggest improvements to activities and operations
Financial Coordination
● Track event-related expenses (materials, transport, manpower) and submit expense reports on time
● Draft event invoices and coordinate with finance/admin on client billing and payment follow-up
● Maintain accurate internal trackers for payments, advances, and dues; flag discrepancies promptly
Safety, Quality & Documentation
● Ensure safety guidelines are followed across all activity zones
● Uphold Green Compass's premium presentation and brand standards
● Share post-event reports (attendance, feedback, challenges) and maintain checklists and SOPs
Requirements & Qualifications
● 3–5 years in event management, hospitality, or a client-facing operations role (experience with children's events, education, or camps is a strong plus)
● Proven ability to lead a team and run an event independently, start to finish
● Strong organizational skills — comfortable juggling logistics, timelines, and multiple stakeholders at once
● Confident, warm client communication; able to represent the brand professionally under pressure
● Basic financial literacy — comfortable tracking expenses, drafting invoices, and following up on payments
● Calm, quick problem-solver who can adapt on the ground (weather, venue issues, last-minute changes)
● Genuine warmth and patience with children; alignment with a kind, safety-first, child-centric approach
● Willingness to work flexible hours, including weekends and evenings, as most events fall then
● Comfortable with physically active, on-your-feet work during event setup and execution What We Offer
● A leadership role in a growing, well-loved premium events brand in Bangalore
● Variety — no two events are alike, from themed birthdays to school activations and private celebrations

● Other benefits: As per company guidelines
