Discussion
Amazon Security is seeking an experienced and proactive Executive Assistant to support a senior leadership in a fast-paced, high-impact environment.

This role is responsible for enabling organizational effectiveness through exceptional administrative and operational support.

The ideal candidate will thrive in ambiguity, anticipates needs before they arise, and operates with the highest degree of discretion and professionalism.

You will serve as a trusted partner, managing complex schedules, coordinating across multiple teams and time zones, and ensuring seamless day-to-day operations.

This role requires five (5) days a week in office.

Key job responsibilities
**Calendar & Scheduling Management**
Proactively manage complex, multi-timezone calendars — resolve conflicts, coordinate meetings with prepared agendas and materials, and protect focused work time to optimize leader productivity.

**Travel Planning & Logistics**
Arrange domestic and international travel end-to-end, including itineraries, adjustments, and prompt expense processing.

**Meeting Preparation & Follow-up**
Prepare briefing documents and talking points; attend meetings to capture action items and drive follow-through and accountability across stakeholders.

**Expense & Purchase Order Management**
Manage expense reports, purchase orders, budget tracking, corporate card reconciliation, and vendor payments in compliance with Amazon financial policies.

**Event Coordination**
Plan and execute offsites, all-hands, morale events, and cross-functional events — owning venue, logistics, and attendee communications.

**Cross-Team Communication & Coordination**
Serve as the connective tissue between the leader, directs, and partner teams — drafting communications, managing information flow, onboarding new hires, and maintaining org charts and distribution lists.

**Program Management & Operational Support**
Drive operational cadences (WBRs, MBRs, planning cycles); track goals and flag risks; own mechanisms (trackers, dashboards, wikis); coordinate cross-functional programs end-to-end; identify process improvements; partner with finance, HR, and recruiting on organizational workflows.
