Known for anchoring its marketing and formulation in clinical proof, the brand has also crossed into social commerce with multiple viral products. It operates a true omnichannel business, selling direct-to-consumer, through a professional skincare provider network, and across authorized international retail in six markets, supported by a full loyalty ecosystem and AI-powered skin diagnosis tools.
About the Role
Our client is looking for an Executive Assistant to support a senior executive leading a team of 30 or more people across a fast-moving consumer beauty business. You will own calendar management, travel booking, and meeting prioritization, applying real judgment about what deserves the executive's time.
This role requires more than organizational skills. The executive moves quickly and receives a high volume of meeting requests, so you'll need to think clearly under pressure and take genuine ownership of their time.
Responsibilities
- Own the executive's calendar end to end, triaging requests and deciding what gets scheduled, deferred, delegated, or declined
- Protect focus time and prepare the executive with context and materials ahead of every commitment
- Resolve scheduling conflicts proactively and without creating friction for stakeholders
- Book and manage all domestic and international travel, including flights, hotels, ground transport, and dining reservations
- Build detailed itineraries with confirmations and timing buffers, and handle last-minute changes or re-routes efficiently
- Manage the executive's inbox, flag priority items, and draft responses as needed
- Communicate professionally with internal stakeholders, external partners, and vendors on the executive's behalf
- Track and close all follow-ups and open items without prompting
- Handle expense reporting, document management, and recurring administrative tasks
- Support ad hoc projects and special requests as they arise
What We're Looking For
- Proven experience as an EA supporting a senior leader managing a team of 30 or more people (hard requirement)
- Strong critical thinking skills, with the ability to independently assess and prioritize meeting requests based on the executive's goals and workload
- Expert calendar management with a track record of running a complex, high-volume calendar without errors or gaps
- Excellent international and domestic travel booking experience with strong attention to logistics and detail
- Excellent written and verbal English communication with a polished, professional tone
- Proactive, self-directed, highly discreet, and reliable with sensitive business information
Nice to Have
- Experience supporting a senior executive in a consumer goods, beauty, retail, or lifestyle brand
- Background managing travel and calendars for executives with large, cross-functional teams
- Familiarity with tools such as Google Workspace, Microsoft Office, Concur, or similar expense and travel platforms
- Experience in a corporate environment where stakeholder management and professionalism are non-negotiable
Work Schedule
- 100% remote setup so you can work wherever you're most productive
- This position operates on a full-time basis, with dedicated hours to ensure alignment with the team and delivery of quality work
- Availability Monday through Friday, 8 AM to 4 PM US Pacific Time
Compensation & Time Off
- Compensation paid in USD
- Paid bi-monthly on the 15th and 30th
- Paid Time Off according to company policy
- Holidays observed according to company guidelines
