The Role
To support the reliable and cost-effective supply of products by coordinating purchase orders, forecasts, production updates and deliveries with assigned suppliers. The role maintains accurate ERP and supplier records, monitors performance and supply risks, and ensures timely communication across Sales, Operations and other internal teams. It also supports issue resolution, supplier reviews and freight monitoring to improve delivery performance, maintain continuity of supply and minimise avoidable costs.

The Role
To support the reliable and cost-effective supply of products by coordinating purchase orders, forecasts, production updates and deliveries with assigned suppliers. The role maintains accurate ERP and supplier records, monitors performance and supply risks, and ensures timely communication across Sales, Operations and other internal teams. It also supports issue resolution, supplier reviews and freight monitoring to improve delivery performance, maintain continuity of supply and minimise avoidable costs.
Responsibilities
What will you be doing?- Supplier Performance and Coordination
- Maintain regular communication with assigned suppliers regarding purchase orders, production progress, and expected dispatch dates.
- Update the ERP system accurately and promptly with the latest information received from suppliers.
- Provide relevant supply information to support the wider Sales and Operations teams
- Take clear minutes and action notes during supplier meetings and circulate them to relevant stakeholders.
- Assist in producing reports that measure supplier performance against agreed lead times, On Time In Full (OTIF) delivery, and other operational measures.
- Highlight and amend overdue orders, delivery risks, and data discrepancies to the appropriate manager.
- Problem Solving and Supply Support
- Monitor orders and identify issues that could affect continuity of supply.
- Escalate supply risks promptly to the relevant manager and internal stakeholders.
- Support the coordination and follow-up of agreed actions to resolve delivery or supply issues.
- Help facilitate communication between internal /cross functional departments and assigned suppliers.
- Maintain accurate records of issues, actions, owners, and agreed completion dates.
- Apply established procedures and seek guidance from senior colleagues when handling more complex problems.
- Commercial and Administrative Support
- Maintain accurate stock sheets, open order trackers, and supplier records.
- Prepare and share non-binding forecasts with suppliers following internal approval and agreed processes.
- Raise purchase orders in line with approved forecasts, artworks and requirements and issue them to suppliers. Follow up with suppliers to obtain purchase-order acknowledgements and delivery confirmations.
- Support data generation for business review meetings with key CMOs
- Assist with monitoring freight arrangements and identifying opportunities to avoid unnecessary air freight.

- Proficient in MS Office (including, word, excel and outlook)
Experience & Qualification
- Science graduate / Postgraduate in Management
- Not essential (7-10 years desirable)
