About the team

Zillow is seeking an experienced Senior Executive Assistant to serve as the primary executive support partner to our SVP of Communications, with additional support for our VP of External Affairs & Business Communications, and as a key operational partner to the broader Corporate Affairs team.

About the role

We’re looking for someone who develops a deep understanding of the Corporate Affairs organization, its priorities, stakeholders, and rhythms of business and uses that context to anticipate needs, identify gaps, make recommendations, and take ownership.

The successful candidate will know when to act independently on behalf of their leaders, when to influence or push toward resolution, and when a decision requires executive involvement. They will represent Communications effectively with partner organizations across Zillow, build trusted relationships throughout the company, and ensure important priorities, decisions, and operational needs reach resolution.

This person will also bring an AI-native mindset to the role, actively exploring how AI, automation, and emerging tools can eliminate friction, improve workflows, and create capacity for their executives and the broader team. We don’t expect an engineer; we do expect curiosity, experimentation, strong judgment, and an increasing ability to build lightweight solutions that make work better.

This is an opportunity to become an operational backbone for a fast-moving, high-performing Communications organization helping its leaders and team operate more effectively and show up at their best.

Responsibilities include:

  • Serve as the primary executive partner to the SVP of Communications, with additional support for the VP of External Affairs & Business Communications, providing high-level support with exceptional judgment, discretion, and care for confidential and sensitive information with professionalism.
  • Own complex calendars strategically, aligning executive time with business priorities, anticipating needs several months ahead, and proactively resolving competing demands.
  • Act as a trusted representative and liaison for the Communications team with senior leaders, partner teams, executive assistants, and external stakeholders; independently resolve operating and prioritization issues where appropriate and drive others through to resolution.
  • Treat the Communications organization as part of your sphere of ownership - maintain awareness of team priorities, identify operational gaps or risks, and ensure they are addressed, whether by taking direct ownership or engaging the right person.
  • Drive select complex projects, review and approval processes, and other initiatives from ambiguity through completion, establishing plans, owners, dependencies, decision points, and follow-through while keeping leaders and stakeholders accountable to commitments.
  • Own and continuously improve operating rhythms, processes, and systems that help the Communications team work more effectively.
  • Manage budgets and related financial processes, including purchase orders, expenses, procurement, and vendor coordination.
  • Bring an AI-native mindset to the role, proactively identifying opportunities to use AI, automation, and technology to reduce manual work, improve information flow, and create capacity for executives and the team; build lightweight automated workflows where appropriate.
  • Anticipate upcoming needs, decisions, meetings, and follow-ups; ensure executives have the context and materials they need and that important commitments don't fall through the cracks.
  • Develop polished, executive-ready presentations, agendas, summaries, prebriefs, workbacks, and other materials that enable decisions and move work forward.
  • Provide project leadership for zRetreats, All Hands, leadership meetings, and other high-impact team moments, owning the overall outcome, workback, executive readiness, content coordination, and stakeholder alignment while partnering with appropriate resources on logistics.
  • Manage complex internal and external scheduling, travel, expenses, procurement, and other executive logistics with a high degree of accuracy and judgment.
  • Build strong, strategic partnerships across Zillow’s assistant community, using those relationships to exchange business context, anticipate cross-functional needs, coordinate priorities across leadership teams, solve problems, and strengthen how executives and teams work together; serve as a trusted resource and mentor to other assistants.
  • May require 25% travel annually Please reach out to your HRBP for a job description.

Who you are

You’re an experienced executive partner who thrives in a fast-moving environment, stays composed and effective through last-minute changes and shifting priorities, and brings exceptional judgment, discretion, and a strong ownership mindset. • Demonstrated experience owning complex projects and operational initiatives, including running reviews, coordinating across multiple stakeholders, and driving work from ambiguity through resolution.
  • A proactive, highly accountable operator who anticipates needs, identifies gaps, and takes ownership rather than waiting for direction.
  • A trusted relationship builder with strong communication, influencing, and stakeholder-management skills; comfortable representing senior leaders and navigating competing priorities without direct authority.
  • Exceptional judgment and discretion, with demonstrated ability to handle highly confidential, sensitive, and non-public information with care.
  • Experience managing budgets and financial processes, including tracking spend, processing purchase orders, and partnering with Finance, Procurement, and vendors as needed.

  • An AI-forward, curious adopter who actively experiments with AI and automation and is comfortable building or learning to build lightweight workflows that improve how you, your executives, and your team work.
  • Strong business curiosity and organizational awareness - you actively build the context and relationships needed to anticipate needs, exercise good judgment, and know when to act independently versus escalate.
  • Able to effectively support executives and stakeholders across multiple time zones, adapt quickly to last-minute changes and urgent needs, and flex around senior executive schedules when business needs require it. Executives are based in Arizona and Pacific time zones.
