Senior Executive, Student Administration

Summary

Oversees student administration for a university’s physical and mathematical sciences school, managing admissions, academic services, exams, and events while coordinating with internal/external stakeholders.

The School of Physical and Mathematical Sciences is seeking a dedicated and proactive Senior Executive to join the Undergraduate Academic Office. Reporting to the Manager, you will play a pivotal role in supporting the school’s academic team, ensuring the smooth delivery of academic services, and enhancing students’ learning journeys.

Job Description

Admission

  • Oversee administration of student programmes (e.g. internships, attachments, exchange, integrated programme, and special initiatives).

  • Coordinate student mobility opportunities and liaise with internal/external stakeholders.

  • Manage student applications and required documentation.

  • Prepare official correspondence for students.

  • Handle general enquiries via phone, email, and in person.

Academic Services

  • Administer course registration and related academic processes.

  • Manage online learning platforms and course evaluations.

  • Process applications for academic support and financial assistance.

  • Provide secretariat support for reviews and quality assurance.

  • Manage instructor hiring for courses.

  • Deliver general academic support services (e.g., scheduling, waiver handling).

Examinations

  • Support planning and logistics for assessments.

  • Administer exam-related documentation and formatting.

  • Assist with the administration of exam scripts checking.

Events

  • Organize student-related events and trips, including logistics and budgeting.

  • Manage procurement requests for event needs.

  • Prepare and disseminate event communications.

  • Coordinate venue bookings and related arrangements.

Other Administrative Duties

  • Manage role-based email accounts.

  • Prepare official letters and certificates.

  • Administer students/faculty awards.

  • Support ad hoc administrative tasks as assigned.

Requirements

  • Bachelor’s degree with at least 1 year of relevant experience or Diploma with 3-4 years of relevant experience.

  • Proficiency in Microsoft Office Suite and relevant software.

  • Strong organizational and project management skills.

  • Ability to work independently and as part of a team.

  • Strong problem-solving and analytical abilities.

  • Strong ability to communicate (verbal and written) effectively with students, faculty and team members.

  • Familiarity with higher education policies and regulations is a plus.

  • Responsible and reliable.

  • Proactive and positive attitude towards work tasks.

  • Possesses characteristics of being assertive and meticulous.
